Our Capital Projects team has an exciting opportunity for a Project Coordinator to join us at our Bristol office. This role is responsible for providing high-level administrative support to all Project Delivery functions while fostering strong relationships with key stakeholders, primarily the Capital Project Delivery team and external contractors, to ensure effective and compliant project delivery.
The Capital Projects team is key to supporting the growth, sustainability, and operational needs of Unite Students by investing in the physical infrastructure and facilities of the estate. The delivery of the Capital Investment Plan is intended to create, upgrade, and maintain assets with long-term value.
The purpose of a Capital Projects Team is to manage and oversee the planning, execution, and completion of the Capital Projects Plan across the Estate. The Capital Projects Team will ensure that projects are delivered on time, within budget, and provide assurance that all required quality, compliance, and regulatory standards are met.
What You’ll Be Doing
1. Act as an information bridge between Capital Projects and the wider organisation.
2. Carry out audits on project folders to identify all preconstruction and post-construction information that has been uploaded.
3. Continued monitoring and circulation of the audit report.
4. Consult key stakeholders post-completion of the project and collate feedback and coordinate post-completion reviews where appropriate.
5. Continued update of all relevant documents on the back of completed projects.
6. Ensure the safety and compliance team are supported to deliver on the team strategy and business objectives.
7. Recording and distributing all key H&S information.
8. Work with line manager & PMs on creating key communications requirements, liaising with the communications department.
9. Ensure all capital projects are covered by CDM as required, making sure that any crossover projects have one CDM principal designer.
10. Monitor the filing and tracking of defects post-completion of larger schemes, including follow-up with project managers to ensure defects are closed out.
11. Work with external suppliers, e.g., principal designers/principal contractors/consultants.
What We’re Looking for in You
1. Experienced in coordinating projects with an understanding of project management.
2. Demonstrate financial and commercial awareness including previous experience of working with and managing costs and budgets.
3. Ability to build relationships internally and externally.
4. Demonstrable oral and written communication skills including proven ability to engage with key stakeholders.
5. Ability to write reports for all levels.
6. Demonstrable computer literacy and ability to use the Microsoft Office suite.
7. Ability to work at pace whilst maintaining a high level of accuracy and attention to detail.
8. Ability to manage own time effectively, prioritising tasks when required.
9. Demonstrable analytical skills.
10. Proven ability to work as part of a team or on own initiative.
11. Ability to travel and stay away from home where required.
12. Ability to develop project processes for internal and external use.
