What will you do…
* Reception Duties: Answer and direct calls, greet visitors, issue passes, and maintain a tidy and welcoming reception area.
* Health & Safety Inductions: Show induction videos, ensure contractors read and sign induction booklets, and maintain induction records.
* Visitor Management: Issue safety shoes, glasses, and Wi-Fi access to visitors, and ensure their presence is accounted for during emergencies.
* Contractor Oversight: Record and manage contractor access cards and verify compliance with site induction processes.
* Administrative Tasks: Create and manage purchase orders, update telephone directories and fire roll-call lists, and handle post distribution.
* Facilities Support: Manage hire car logistics, stationery, printer cartridges, and vending machine fault reporting.
* Security Monitoring: Liaise with security, monitor CCTV, and manage access control systems for employees and contractors.
* Emergency Response: Notify emergency services during incidents, track roof access, and activate emergency sirens when needed.
* Logistics Coordination: Record goods access traffic, manage pickup trucks, and oversee fuel card issuance and control.
* Event Arrangements: Book taxis and buffets as needed and coordinate with internal teams to ensure seamless service.
* System Updates: Maintain records for alarms, fire valves, and contractor training, and input data into relevant systems.
* Ambassadorial Role: Represent the business professionally and ensure a cheerful and efficient presence at reception.
What do you bring…
* Ability to prioritise their work load and be well organised.
* Must be able to work unsupervised and using their own initiative
* Must be professional, friendly, approachable and smart in appearance
* Must be able to work under pressure and in a busy environment
* Previous work in reception area is desirable
* Experienced with Microsoft Office package (Outlook, Word, Excel etc).
* Have the ability to learn new packages and pick up new systems quickly
