Job Summary
We are seeking a highly motivated and organised Office Administrator to join our dynamic team. As the backbone of our office operations, you will play a crucial role in ensuring the seamless functioning of our daily activities and providing exceptional service to our customers.
Responsibilities
* Efficiently managing a variety of clerical and administrative tasks to support the smooth running of the office.
* Handling invoicing processes with accuracy and efficiency.
* Building strong relationships with customers by proactively handling inquiries via phone and email.
* Collaborating with the procurement team to maintain optimal stock levels and availability.
* Driving sales by following well-defined processes, advising on delivery schedules, and ensuring outstanding after-sales service.
* Partnering with logistics to guarantee timely and accurate deliveries.
* Preparing insightful sales and activity reports by collecting, analysing, and summarising key information.
* Working closely with credit control to ensure timely follow-up on due and overdue accounts.
* Reaching out to new customers, generating leads, and following through on sales opportunities.
Experience
* Proven experience in office administration or a similar role, with a strong emphasis on customer service and support.
* Familiarity with invoicing and financial processes; experience with Xero Accounting Software is preferred.
* Proficiency in Microsoft Office Suite (Word, Excel, Outlook, and PowerPoint) is required.
* Demonstrated ability to handle clerical tasks efficiently and accurately in a fast-paced environment.
* Experience in liaising with procurement, logistics, or credit control teams to ensure seamless operations.
* A track record of successfully building and maintaining strong customer relationships.
* Proficiency in creating and analysing sales and activity reports to support business growth.
* Multilingual abilities are preferred, with the capacity to communicate effectively with a diverse range of customers.
* Excellent organisational, multitasking, and problem-solving abilities.
Job Type: Full-time
Pay: £13.00-£14.00 per hour
Expected hours: 30 – 40 per week
