Job Summary The Business Support Officer will play a key role in providing efficient and effective administrative support across the Commercial and Contracts team. Serving as the central point of contact for NHS Commissioners via the Business Development mailbox, you will facilitate seamless collaboration across Psychiatry UK (PUK), and between PUK and ICBs ensuring clear, high-quality communication and strong relationship management with clients, including NHS Trusts and Integrated Commissioning Boards. This is a home-based role (applicants must reside in the UK), though occasional travel may be required for face-to-face meetings at various locations. As a Business Support Officer, you will contribute to increased productivity, streamlined operations, and the overall success of the Commercial and Contracts function. Responsibilities and Duties: • Assist with the preparation of reporting packs for the executive team and the board • Act as the point of contact for internal and external stakeholders • Maintain an accurate and up to date contacts list • Manage the business development mailbox ensuring enquiries are responded to, escalated and coordinated appropriately • Proactively communicate and share contract information with commissioners as agreed with the Head of Commercial and Contracts • Organise and archive documents and files as required • Schedule, organise and coordinate information in time for Contract Management meetings • Support efficient administrative tasks and department operations including diaries as requested • Ad hoc duties as required from time to time by the Senior Management Team • Plan own workload to ensure that tasks are met. • Prioritise workload with consideration to issues arising and responding to shifting priorities appropriately. • Actively participate in regular supervision with line manager and the PUK PDR process for maintaining and developing personal skills and meeting agreed objectives. • The post holder will attend online training as relevant to the post including mandatory training courses i.e. Information Governance, safeguarding, Health and Safety courses etc Person Specification Essential Qualifications and Skills: Competence across Microsoft Office applications Proficiency in email and internet-based communication, and online systems Familiarity with NHS contracts and regulations and/or willingness to learn Familiarity with commissioning cycle and/or willingness to learn Active listening and interpretation skills to understand and address enquiries effectively and professionally Attention to detail in handling documents and data entry Ability to work to tight deadlines and under pressure Ability to convey information clearly and concisely Strong organisational and time management skills to manage files, documents, tasks and schedules efficiently Flexibility to adapt to changing priorities Desirable Experience and Skills: Evidence of additional learning in business administration, contracts, legal or other related field Knowledge and understanding of service delivery commissioned by the NHS Healthcare / health-tech business sector experience Critical thinking and observation skills to make connections between tasks and suggestions for improvement Confidence in working with and communicating with many different people, from across multiple organisations (ICBs/NHS Trusts/etc), who may be under pressure Other information This job description is intended as an outline indicator of general areas of activity and will be amended in the light of the changing needs of PUK.
