Description
Amicus is looking for an exceptional Administration Officer (Part-time, 25 hours per week) with a salary of 19k per annum, on a temporary contract (March - June 2020). This is an exciting opportunity to work for a leading death penalty human rights charity dedicated to fair trials for those on Death Row in the US. You will need the ability to prioritize a demanding and varied workload, performing all the charity’s key administrative duties to a high standard. The part-time role is based in our central London office; basic hours are 10am to 4pm (including one hour for lunch) Monday to Friday, with occasional evening and weekend work required. There may be possible flexibility in times for the right candidate. We are a small team, and everyone pitches in to assist each other when necessary. The role reports to the Operations and Casework Manager but will also work closely with the Director and the office volunteers.
Key Responsibilities
1. All day-to-day office administration, including but not limited to:
1. First point of contact for general enquiries.
2. Membership: processing applications, chasing renewals, and keeping the database up-to-date.
3. Biannual training programme: processing applications, liaising with venues, collating materials, communicating with delegates, and managing guest speaker itineraries.
4. US and UK programme management: processing applications, keeping the database up-to-date, and logistics for interview panel and interview dates.
5. Casework: logistical support and keeping the database up-to-date.
6. Events: assisting with the preparation, planning, and logistics of fundraising and awareness-raising events and university talks.
7. Journal: managing mailing list and subscriptions.
8. Newsletter: support and editorial as required.
9. Meetings: minute taking and document preparation.
2. Supervision of office volunteers, including recruitment and training of new office volunteers over time.
3. Finance: data entry and updates using Salesforce and Excel.
4. Student group programme: point of contact for existing student reps, support for fundraising targets, and recruitment of new student reps.
5. Website and social media updates as required.
6. Managing the Director’s diary and emails.
7. Assisting the Director and Operations Manager with ad hoc tasks as required.
Skills and Experience
1. Ability to prioritize a demanding and varied workload.
2. Strong attention to detail.
3. Willingness to assist colleagues in all areas of the charity’s work.
4. High level of IT skills, with experience in Excel and the ability to learn new processes, particularly in the Office suite.
5. Knowledge/experience of CMS systems (we use Salesforce).
6. Ability to manage diary and emails for a third party.
