An exciting opportunity to join the Pharmacy Purchasing Team at UHBW. The Pharmacy Purchasing team acts as the first point of contact for the procurement of medicines and the processing of associated invoices across UHBW. We strive to provide the best pharmaceutical care for our patients through safe, timely, cost-effective procurement and stock management of medicines.
Main duties of the job
* Supervise the day-to-day operation of Pharmacy Invoicing in line with Trust policies and Standing Financial Instructions to ensure an auditable, effective, timely, and high-quality service is provided.
* Respond appropriately to a range of emailed queries regarding invoice payment, credit queries, and statement of accounts for the Pharmacy department from all external parties, as well as internal queries from Trust Finance and Auditors.
* Resolve queries relating to invoices, credit notes, and statements of account from Suppliers in an accurate and timely manner to minimize delays in payment.
* Actively work to reduce aged debt to Pharmacy Suppliers.
* Support the Pharmacy Purchasing Team in all aspects of administration, operational service, and system development at UHBW.
Person specification
Qualifications and Training
* Educated to GCSE, grade C or above (or equivalent) in English Language and Maths.
* Business and Administration Level 3 NVQ or equivalent experience.
Knowledge and Experience
* Line Management Experience.
* Clerical/administrative experience within a busy office environment.
* Excellent problem-solving skills.
* Experience analyzing financial data.
* Previous NHS experience.
* Experience working in a hospital pharmacy or financial environment.
Skills & Abilities
* Effective and polite manner when dealing with people, both face to face and on the phone.
* Able to work under pressure and meet deadlines whilst maintaining a high standard of accuracy.
* Ability to work effectively in a busy team, adjust to change, and motivate others.
* Ability to work independently whilst managing others in a team environment.
* Ability to work without direct supervision.
* Good IT skills including Microsoft packages.
* Ability to proactively use knowledge and experience to resolve problems.
