Summary:
A Project Administrator at Clearway is responsible for assisting in the administrative functions of construction projects. Tasks involve data entry/transfer, reports, time keeping, document control, coordination with project team, liaison between field and head office. The position is based out of the field office for the project within the Greater Vancouver Area.
Location: Clearway's Regional Office – Surrey, BC.
Hours of Operation: 8:00 am to 5:00 pm (PST)
Essential Duties & Responsibilities:
1. Assist the project team where applicable, in the day-to-day duties
2. Coordinate with the Head Office Admin Team in requesting and following up Subcontractor/Vendor mandatory documents
3. Maintain and update various tracking sheets required throughout construction including but not limited to: quantity tracking, production tracking, material tracking, trucking logs, packing slips, locates, submittal logs, Shop drawings, RFI, RFQ, Purchase Orders, and permits in coordination with project team
4. Assist in packaging documents and various project requirements
5. Attend internal coordination and project meetings as requested/required & take minutes
6. Compile and complete a project photograph record
7. Coding, sorting and preparing packing slips for submission to head office
8. Data entry and processing time and material work
9. Assist in completing regulatory forms and permit applications as required
10. Complete additional administrative assignments as requested by project team
11. Accurate input of data in various programs used within the company in a timely manner
12. Packaging, organizing and updating of various spreadsheets, diagrams and photographs
13. Attend conferences and training as required to maintain proficiency
Requirements:
1. Post-Secondary Education/College Diploma preferred
2. Knowledge and use of Microsoft Word, Excel, and Adobe
3. Detail oriented, and able to multi-task under the pressure of deadlines
4. Experience in administration (within construction sector preferred)
5. Able to effectively communicate in English with internal and external parties, both written and verbal
6. Effective time management and organizational skills
7. Proven ability to work independently and within a team environment
8. Valid British Columbia Drivers License
9. Must be legally eligible to work in Canada – no work permit sponsorship is available for this position
