Job Summary
The post holder will be responsible for the administrative processes supporting all Hewitt Centre Knutsford clinics for both Private and NHS patients and for the registration of Transport and Satellite patients attending the Unit. The post holder will be required to become proficient in the use of Information Technology and supporting technologies to enable the discharge of duties in an efficient and effective manner.
The post holder will provide typing and administrative support to consultants and other staff within the Hewitt Centre, dealing with clinic correspondence, letters and reports as required.
Main duties of the job
1. Provide a professional clinical typing service to consultants, clinicians and other Unit staff as required, using DICT8 or copy typing. Ensure all typing is accurate, GP details are checked against patient notes and Digicare/Summary Care Record where necessary.
2. Arrange all communication to new patients.
3. Assist with the provision of a telephone answering service (high call volume) for patients who contact the clinical team.
4. Assist with the maintenance of an up to date electronic and paper office filing system appropriate to the relevant department and undertake filing in Patient Records and the Hewitt Centre in accordance with the Trust Records Management Policy.
5. Help maintain the Hewitt Centre's case note filing system (currently in process of going paper light).
6. Support Trust and Departmental processes for the review and management of data quality issues related to booking and scheduling activity.
7. Work flexibly to cover the hours of operation including weekends and Bank holidays if required.
8. Undertake other duties as required from time to time providing cover for other members of the booking and scheduling team.
9. Enter orders onto percurrent system NEP.

Skills, Knowledge & Aptitudes Essential
* Proven aptitude for clerical role
* Good level of numeracy and literacy skills
* Able to communicate clearly both in verbal and written communications
* Good keyboard & PC skills
* Working knowledge of Microsoft Office packages i.e. Outlook, Word, Excel
* Ability to type text to a good standard
* Organised and methodical with an attention to detail
* Professional and friendly telephone manner
* Able to maintain accuracy to high standards
* Understanding of confidentiality, Data Protection and Caldicott principles
* Ability to learn NHS/medical Terminology
Qualifications & Learning Essential
* Educated to GCSE level or equivalent including English and Mathematics
* Typing qualification - RSA II or equivalent
Experience Essential
* Experience of working in an office or administrative environment preferably within a healthcare environment
* Previous experience of working in a NHS role
* Experience of audiotranscription letter generation service
* Experience of customer service /appointments role
* Team work or group member experience
