This role provides a comprehensive administration service within Care of the Elderly Ward 7.
The post holder will be required to understand ward systems, taking into account the needs of patients who require admission, transfer, and discharge, and be expected to communicate with a wide range of professionals, consultants, doctors, nursing staff, and patients/relatives and carers, organizing their own workload to maintain an efficient and professional service.
Main duties of the job
We are seeking a highly motivated individual to work as a ward clerk supporting the Care of the Elderly Ward 7 Team. The successful candidate will need to be forward-thinking and able to provide a full range of clerical duties to support the smooth running of the ward. Good organizational and communication skills are essential, as well as a flexible approach to work. The successful candidate will have previous office experience, ideally in a similar role, and be able to prioritize work to meet tight deadlines. A good general education is required. Knowledge of health IT systems, including PCS, would be desirable, although full training will be given.
Job responsibilities
1. Use the required electronic systems to receive patients for attendance or admission, book them into the system to record arrival, discharge, and any follow-up appointments, promptly updating information as required to ensure accurate recording and retrieval of information.
2. Coordinate a support service for patients, including arranging ambulance transport, porters, patient meals, linen, and maintenance requests as required, including dealing with donations and patient belongings adhering to Trust policies.
3. Update case notes when patients have been seen, according to the agreed quality standard, locate and retrieve supplementary documentation for case notes as required, and file diagnostic reports and essential documents in the appropriate place.
4. Provide a comprehensive clerical service to the ward team, undertaking all work-related correspondence, photocopying, faxing, and emailing, distributing reports and letters according to the requirements of the service.
5. Maintain constructive relationships with others, within and across Divisions and externally to improve the effectiveness and efficiency of services to patients.
6. Work in a challenging environment and have a sensitive, caring attitude.
Person Specification
Qualifications Knowledge/Previous Experience
* Proficient in computer skills, ECDL or equivalent, Microsoft Office.
* Awareness of the need for confidentiality in accordance with Data Protection Act and national/local guidelines.
* Previous office experience.
Skills
* Demonstrate verbal and written communication skills.
* Methodical, numerate.
Physical Requirements
* Ability to perform a wide range of duties according to the Job Description.
