Role overview
As the Finance Assistant, you'll work with the Business Finance Manager and the Financial Controllers to maintain financial records and help keep track of the firm's finances.
You'll play a major role in supporting the internal finance function to ensure that EQ is enabled to meet its financial commitments, that it complies with the financial rules governing the firm and that financial records are accurately maintained.
Your 'go to' person is the Business Finance Manager, who will coach, support, and challenge you not only to succeed in your role but to realise your potential and career aspirations at EQ.
Key Responsibilities
* Processing – You'll be inputting information into our CCH system and collating end of month CCH reporting.
* Direct debits management – You'll be setting up and monitoring direct debit collections including recurring fees, schedules, dealing with collections, posting payments, recording receipts in CCH and new mandates to banks.
* Updating financial records – You'll update cash books, bank balances and outflows, posting fee receipts and issuing daily fee reports. You'll also post fee receipts and petty cash into Xero and complete bank reconciliations.
* Purchase ledger – You'll be clearing bills and vendor invoices and posting client disbursements. You'll be making payments to suppliers and creditors through Bankline.
* Managing invoices – You'll be creating recurring fees and updating our CCH system, sending and following up on invoices and posting the journal for invoices.
* Managing credit cards – You'll match receipts, code and post into Xero, and you'll issue cards and monitor transactions, credit limits and deal with any issues. You'll post disbursements into CCH and distribute credit card statements to card holders.
* Overseeing client accounts – You'll be monitoring and maintaining an overview of client account and inter-account transfers.
* Reporting – You'll be collating data and helping the team to create and analyse reports.
* Mini projects – You'll have the opportunity to be involved in various mini finance projects that will build better solutions for the business.
* Process mapping – You'll establish a process mapping format and work with the Financial Controllers to map all financial processes and maintain these on an ongoing basis.
* Continuous improvement – You'll have the opportunity to suggest improvements in accuracy, efficiency and reducing costs.
* Tax investigation - You'll support the fee protection insurance process.
* Payroll – You'll support the Financial Controller (Accounts, Tax and Reporting) with production of overtime and expenses reports for payroll.
What You'll Need to be Successful
* Ideally, you'll have a qualification specific to the Finance Assistant position, and, or a minimum of two years' experience as a Finance Assistant or similar position.
* You'll have excellent knowledge of MS Excel and various accounting software applications.
* You'll have strong knowledge of bookkeeping practices.
* You'll have strong interpersonal skills and be experienced in developing positive working relationships at all levels and across all functions of the Firm.
* You'll be an excellent communicator who can engage and influence effectively at all levels of the firm and you'll be confident in engaging people to meet their finance responsibilities.
* This position is all about solving problems; therefore, you'll need to have strong analytical abilities and relish the opportunity to get stuck into a problem and resolve it with the best solutions in optimum time.
* You understand how to organise and maintain your work plan to keep yourself on track to deliver the expected outcomes at once.
* You be detail oriented with excellent time management skills.
