Job Description:
We are looking for a highly organised, reliable, and compassionate Office Manager/Receptionist to join an independent company specialising in all aspects of Ear Care, offering the unique qualities of traditional values in customer service, whilst being supported by the very latest in modern technology.
This role is essential for ensuring the smooth operation of the clinic, delivering exceptional patient care, and providing leadership and guidance to our team of audiologists. The ideal candidate will be warm, friendly, proactive, trustworthy, and capable of managing a range of responsibilities, while also being assertive, when necessary, all while maintaining a warm and welcoming atmosphere.
Key Responsibilities:
1. Clinic Operations:
o Ensure the smooth day-to-day running of the clinic, maintaining a clean and presentable environment that reflects our commitment to clinical excellence.
o Process payments, manage stock levels, and liaise with manufacturers to ensure the timely availability of necessary supplies and equipment.
o Maintain accurate patient records, ensuring confidentiality and compliance with all relevant regulations.
2. Patient Care & Interaction:
o Greet and assist patients with a warm, caring demeanor, making them feel welcome and at ease.
o Handle patient queries and complaints professionally, ensuring issues are resolved promptly and satisfactorily.
o Oversee hearing aid repairs, including the cleaning and preparation of devices that may have wax or blood on them, with care and professionalism.
o Manage an effective aftercare program for hearing aid wearers and patients following wax removal, ensuring continued patient satisfaction.
3. Team Leadership & Communication:
o Provide leadership and guidance to a team of audiologists and hearing care assistants, ensuring effective communication and collaboration.
o Regularly communicate with audiologists and hearing care assistants to coordinate schedules, manage patient appointments, and address any operational issues.
4. Growth & Outreach:
o Identify opportunities for business growth through outreach and referrals from GPs, care homes, hospitals, and other healthcare providers.
o Request Trustpilot reviews and patient recommendations to enhance the clinic’s reputation and attract new patients.
5. Additional Responsibilities:
o Be assertive when needed, taking control of situations to ensure the clinic operates efficiently.
o Act as the owner’s trusted confidant, providing support and taking on extra responsibilities as needed.
