We are currently recruiting for an experienced Personal Assistant to work in a permanent posting based in Leek Wootton, Warwickshire.
The role will be situated within a Police Force, so applicants must be able to obtain national security vetting.
The pay for this position is £29,106.00 to £31,296.00 depending on experience.
Role Purpose:
To co-ordinate and provide a comprehensive secretarial and administration service to Chief Officers and National Leads who support Nationally held portfolios.
Main Responsibilities:
1. Manage a complex diary, prioritising meetings according to importance and urgency, ensuring optimum use of Chief Officer's time.
2. Ensure all required supporting documents and papers are available in advance, including routine administrative work (photocopying, dictation, filing) to ensure smooth department operations.
3. Manage travel arrangements for Chief Officers, including booking travel, hotels, conferences, and car parking arrangements.
4. Provide support for key strategic meetings, including production and distribution of agendas and papers, taking and circulating minutes.
5. Ensure meeting records accurately represent decisions, comments, and issues, and monitor Chief Officers' communication streams.
6. Meet regularly with the Chief Officer to keep them informed of ongoing matters, diary commitments, and invitations.
7. Research and analyse information to provide comprehensive briefings to Chief Officers, supporting their National Policing portfolios.
8. Prioritise, draft, and respond to correspondence and enquiries on behalf of Chief Officers.
9. Provide effective communication with internal and external contacts, ensuring positive contributions to the Chief Officer's reputation.
10. Coordinate arrangements for Force level events, including sending invitations and liaising with external venues.
11. Build and sustain effective relationships with external contacts, including other Chief Officers and partner organisations.
12. Ensure suitable cover for fellow PAs during absences and maintain service standards.
13. Record and submit any media contact for publication.
14. Capture data surrounding staff leaving the organisation for exit interviews.
15. Compile Chief Officer on-call rotas, ensuring cover 365 days per year.
Knowledge/Experience:
1. Substantial experience in providing PA/administrative support at an Executive or Senior Management level.
2. Excellent word processing skills.
3. Competent in the use of Microsoft 365.
4. Ability to work unsupervised, meet tight deadlines, and prioritise workload.
5. Ability to research and analyse large volumes of information.
6. Ability to deal tactfully with people at all levels, exhibiting sound judgement.
7. Proven track record as an effective team player.
8. Ability to handle confidential matters with discretion and integrity.
