1 Full time (37.5 hours per week) and 1 part time (32.5 hours per week)
The post holder will be required to work as part of the administration team and provide cross cover during periods of staff absence within their existing team and other teams within the Directorate as and when required. This support should be provided during the core hours of 08:30 and 17:30 and should be aligned to the Direct Clinical Care time of the Consultants for whom they support.
The post holder will provide efficient and comprehensive administration support, working as part of a team, covering all aspects of the Children's Outpatient Reception.
Duties will include providing a reception service to patients, relatives/carers and all staff groups, arranging patient appointments via telephone or face to face and demonstrating a high standard of customer care. We are seeking team players who are able to work under pressure and prioritise their own workload, whilst responding to the needs of the department. The successful candidates will be expected to cover for annual leave and sickness.
Main duties of the job
To work as part of a clinical clerical team to support a defined team of clinicians, nurses and other healthcare professionals. You will be working in an outpatient setting and your duties will include providing reception cover, collection, delivery and prepping medical notes, dealing with incoming and outgoing post, filing, answering patient calls/enquiries and other general administrative duties. You will be responsible for greeting parents/carers and children, entering all patient arrivals and outcomes onto the Patient Administration System. Excellent organisational and interpersonal skills will be required for this post as you will be expected to communicate well with all levels of staff and the general public and work well within a team.

Job responsibilities
Provide a reception service to patients, relatives, carers and all staff groups. Provide general administrative services as required by the department; locate medical notes within a department or request them from other locations; provide timely collection and delivery of medical notes when required; assist in requesting copies of notes, investigations and results from internally and from other healthcare organisations; filing letters and reports in medical notes promptly and cross-reference whenever necessary and general office filing; receive and sort daily post, date stamp and distribute as appropriate; photocopying, posting documentation; deal with telephone or face-to-face enquiries within agreed limits and take appropriate actions; assist with Reception administration and update the relevant databases and patient information systems when required; prepare case note folders and complete necessary documentation for all new patients; liaise with other hospital departments, GPs and other health care agencies when required. Provide cross-cover within team during absence and implement relevant organisational policy on attendance management, staff appraisal, etc.

* Educated to Minimum 3 GCSE at Grade C or above incl English
