Job Responsibilities: Administration · to have a thorough knowledge of all the practice’s procedures · to work in accordance with written protocols · to retrieve paper medical records at the request of a doctor or nurse · photocopying as requested Reception Duties · receiving patients for appointments with doctors or nurses or for appointments with other healthcare professionals, i.e. healthcare assistant phlebotomist or physiotherapist. · booking appointments, receiving and processing repeat prescription requests · handling completed repeat prescriptions with patients by following the established practice procedure of checking names, addresses and dates of birth · Understanding and requesting repeat prescriptions for patients. · covering all reception positions both on the front desk and receiving ‘phone calls in the back office as required · Helping patients understand the e-consultation system and how they can access and use it. · Explain practice arrangements and formal requirements to new patients and those seeking temporary cover, ensuring procedures are completed · Advise patients of relevant charges for private services, accept payment and issue receipts · Completing Administration work related to e-consultations and scanning. · arranging Patient Transport to and from hospital Outpatient appointments for patients · booking telephone interpreters via Language Line · To complete all mandatory training as required by management. · To attend all reception team meetings. · Ensure reception and waiting areas are kept neat and tidy. · Open premises at the start of the day, deactivate alarm and make necessary preparation to receive patients. Secure premises at the end of the day, ensure building is totally secured, internal lights off and alarm activated · all reception staff are expected to provide cover for colleagues who are on holiday or away from the surgery unexpectedly to maintain the required capacity Administration Ensure appropriate correspondence is passed to the relevant departments. Check and action e-mails, tasks and workflows on a daily basis Your work may change, subject to consultation, depending on the needs of the organisation.
