Overview
We are seeking a highly organised and professional Receptionist/Office Manager to join our team. This role is essential in ensuring smooth operations within the Practices in Ross on Wye and Newent, providing exceptional customer service and supporting various administrative tasks. The ideal candidate will possess excellent phone etiquette, strong organisational skills, and proficiency in using Word, Excel, Xero accounting software (or similar), and social media.
Saturday working is required (3 per month). Opening hours of the practices are 9am till 5pm weekdays and 9am till 1pm on Saturdays.
Duties
* Greeting patients and managing incoming calls with professionalism and courtesy.
* Handling data entry tasks accurately and efficiently.
* Maintaining organised filing systems for both physical and digital documents.
* Completing clerical duties such as typing correspondence, reports, and other documents.
* Managing office supplies inventory and placing orders as needed.
* Supporting the team with administrative tasks, including scheduling appointments and meetings.
* Utilising Xero accounting software to input invoices, statements, and ensuring the bank feed is correct.
* Ensuring the reception area is tidy and welcoming at all times.
Requirements
* Proven experience in a receptionist or administrative role is preferred.
* Strong phone etiquette with excellent communication skills.
* Proficiency in accounting software.
* Ability to perform data entry tasks with high accuracy.
* Familiarity with accounting software is essential, but for the right candidate, training can be provided.
* Excellent organisational skills with attention to detail.
* Ability to work independently as well as part of a team in a fast-paced environment.
* Competent computer skills for various office software applications.
* A good sense of humour is a must.
* A clean driving license is preferred but not essential as long as you can travel to both practices.
