Job Responsibilities:
1. Provide general reception and administrative support to the Practice Team, delivering a positive and friendly professional service to patients and visitors, either in person or via telephone.
2. Receive, assist, and direct patients in accessing the appropriate service or healthcare professionally and courteously.
3. Undertake a variety of administrative duties, including secretarial and clerical support to clinical staff and other members of the practice team.
4. Facilitate effective communication between patients, members of the primary healthcare team, secondary care, and other associated healthcare agencies.
5. Adhere to the Powys Teaching Health Boards policies and procedures.
6. Work on a rota system as required, covering colleagues during sickness absence and annual leave, potentially at short notice to meet service needs.
7. Operate the Medical Practice switchboard system, including reporting faults and issues with the equipment.
8. Receive and make telephone calls as directed.
9. Maintain the Medical Practice Triage system following standard operating procedures and explain the Triage system to patients.
10. Handle general enquiries and explain operating procedures as appropriate.
11. Operate the appointment system and book new and follow-up appointments for patients.
12. Provide an effective and efficient reception service to patients and visitors, ensuring a proactive professional customer service at all times.
13. Update patient information onto electronic and hard copy systems, ensuring records are accurate and up to date.
14. Ensure patients without appointments who need urgent consultations are seen in a timely manner, following standard operating procedures.
15. Explain practice procedures and formal requirements to new patients and ensure proper registration within 3 days of form submission.
16. Enter home visit requests onto the Duty Doctor list, ensuring accurate recording of all relevant details.
17. Process repeat prescription requests, ensuring they are ready for patient collection within 72 hours as per operating procedures.
18. Inform patients of relevant charges for private services, accept payments, and issue receipts.
19. Ensure the waiting room is clear of hazards to prevent accidents.
20. Receive, sort, and dispatch mail and parcels appropriately.
21. Organize the dispatch of emergency specimens and blood samples.
22. Ensure all visitors and engineers sign in upon arrival.
