Welcome to Oxfordshire Sexual Health Service - Sexual Health Oxfordshire
Receive, assist and direct patients accessing our service and in a courteous, efficient and effective way.
Process requests for home STI testing kits and dispatch correctly to patients depending on their needs.
Provide general assistance to the Sexual Health Department managers and clinicians and project a positive and friendly image to patients and other visitors, either in person or on the telephone.
Main duties of the job
We are looking to recruit a full-time administrator to join the Sexual Health Team. The Oxfordshire Sexual Health Service is a fast-paced unit and requires someone who will be excited by being part of a caring team delivering services to patients across Oxfordshire. Your new role
Your main duties will include working at the reception desks of our sexual health clinics in different locations in Oxfordshire and answering telephone and email queries in relation to appointments and results. You will also be part of the on-line testing team which logs requests for, packs and dispatches home testing kits to important deadlines.

JOB DESCRIPTION
Job Title: On-Line Testing Administrator
Grade: Band 4
Location: Churchill Hospital
Hours per week: Full Time
Responsible To: On-Line Testing Co-ordinator
Accountable To: Service Manager
MAIN PURPOSE OF POST
1. To assist in the administration of the on-line testing service
2. To provide excellent customer facing service at all times in the clinic's reception areas.
3. To deal with patient enquires by telephone and face to face
4. To provide a comprehensive administrative support service to the outpatients clinics
DUTIES AND RESPONSIBILITIES
5. Coordinate requests from patients and clinical staff to book appointments into Inform and other systems at times appropriate to individual patient request, clinical priority and procedure using a knowledge of clinical procedures and booking systems to resolve appointment arrangement conflicts and minimise patient journeys.
6. Maintain high levels of customer service, always delivering compassionate excellence.
7. Provide appropriate information and instructions to patients and carers and to healthcare staff regarding a range of sexual health department procedures.
8. Enter relevant clinical and demographic information into clinical database system (Inform) or other clinical data systems.
9. Arrange patient transport/translators where appropriate in line with Trust protocol.
10. Take part in the roster for the receptions of all clinic locations* welcoming patients and ensuring they are checked in and out of clinic in a professional and courteous manner.
11. Ensure that all appointments are checked in and out and that appropriate coding is completed to ensure Trust income is secured.
12. Ensure patient clinic lists are checked prior to the start of clinic paying particular attention to young people attending the Service.
13. Contribute to the development, maintenance and implementation of local policies and operating procedures.
14. As necessary and appropriate, demonstrate skills to new and junior administrative and clerical staff.
15. Assist with the maintenance of stock control for consumables used in the department.
16. Contribute to and assist with general ad hoc office management procedures.
17. Maintain confidentiality of all patient information.
18. Promote and maintain personal and team development.

GENERAL RESPONSIBILITIES
19. To show flexibility should the need arise in covering for other personnel and on different sites when on planned or unplanned leave and to ensure that reception is always covered during hours of opening.
20. To respect the confidentiality at all times of all electronically stored information and written data, particularly where it relates to patients in line with GDPR requirements
21. To keep up to date with all core skills training
22. To maintain a high level of concentration in order to produce precise, accurate detailed work and at times, emotional effort when responding to patients on the telephone.
23. To adhere at all times to the Trust Uniform Policy during working hours
24. Attend weekly and monthly staff meetings
25. To support the team, department and managers with any reasonable work request commensurate with skills and banding.
