As a Team Coordinator at HS2 you will provide administrative and secretarial support to Support Services, across all teams within the department. About the role: Actively promote and embed Equality Diversity and Inclusion (EDI) in all your work, and support and comply with all organisational initiatives, policies and procedures on EDI. Support the Governance team with CAPEX approvals administration tasks in order for the governance framework within L&P to run smoothly. Support the Technical Operations team with administrative tasks relating to DfT and Claimant correspondence. Support other functional teams within Support Services as and when required for core administrative duties, e.g filing of documents. Manage shared inboxes, allocating actions and monitoring progress Make travel arrangements, booking hotels and train tickets for the Support Services wider team Take actions / minutes in meetings as required and produce for review in a timely manner Collate reports / produce presentations as required by the team Arrange meetings for the team, coordinate workshops, book meeting rooms Support the updating of external/public facing documents and internal webpages for Land and Property. Support the L&P Procurement & Contract Management administrative functions where appropriate. Support the organisation of team away days and site visits, ensuring compliance with Health and Safety practices at all times About You: Skills: Computer and IT skills - including full use of MS Office suite or equivalent Organisational skills, with the ability to prioritise, allocate and organise appointments and meetings in a logical manner. Analysis and report compilation - including running reports from IT systems and spreadsheets Communication skills, including liaison with team manager, team members and wider organisation Able to complete support and administrative tasks to agreed deadlines with attention to detail. Meeting management skills - prepare appropriate documentation for meetings. Ability to produce clear, understandable and grammatically correct minutes and documents. Flexible problem solving and dealing with ad-hoc issues whilst also being able to work to specific procedures or protocols. Knowledge: Microsoft Office, especially Word, Excel and Teams functionality.
