Job Responsibilities:
1. Undertake medical audio typing duties and create additional documentation to ensure accurate record keeping and appropriate action taking.
2. Handle outpatient appointment requests, results letters to GPs, discharge summaries, and other official medical correspondence.
3. Take enquiries from clinicians, GPs, health services, patients, and their relatives, and action as appropriate, contacting relevant clinical support as required.
4. Accept telephone and email enquiries from clinicians, GPs, health service and social services personnel, as well as from other hospitals, voluntary agencies, patients, and their relatives.
5. Work using own initiative with minimal supervision, prioritising own workload in line with the objectives of the department and consultant teams.
6. Efficiently deal with all incoming correspondence by phone, post, and e-mail.
7. Liaise with other members of the secretarial/administration team to provide a coordinated, supportive, and efficient secretarial service.
8. Communicate with patients, relatives, and staff demonstrating sensitivity and maintaining professionalism; escalate any complaints, problems, or issues to clinicians or management as appropriate.
9. Ensure confidentiality is maintained at all times, complying with the Data Protection Act, Information Governance, and other Trust/departmental policies.
10. Assist in providing cover for the secretaries in the Directorate to ensure continuity of service to consultants, medical staff, service users, and patients.
11. Undertake any other duties as appropriate within the role under agenda for change frameworks.
