Registration Service Advisor Permanent, Full Time £23,344 per annum Location: Chelmsford Working Style: Fixed-base worker The Opportunity The Registration Service ensures Essex County Council's (ECC) statutory and legal obligations are met in line with General Register Office (GRO) requirements for registering ECC citizen life events, including births, deaths, marriages, civil partnerships, and citizenship ceremonies. We have an exciting opportunity to join our fast pace back-office team. The Registration Service delivers an efficient centralised back-office function, including the online booking system for Citizenship, Ceremonies, and Registration Appointments. The Registration Advisor will handle all customer enquiries through various contact methods such as phone, email, and online platforms, providing specialist advice and support while ensuring excellent customer service to the public using the service. The service is performance driven, to ensure the team are delivering the levels of service that are required. With demonstrable experience in an administrative or customer service environment, the role requires strong communication and IT skills, along with the ability to adapt to changing demands. Success in this role will depend on delivering high-quality customer service in a fast-paced environment. The Registration Service experiences seasonal peaks in demand, requiring the administration service to remain flexible and responsive. Please note, once fully trained the successful candidate will be required to work at The Essex Records Office on a rotational basis. To read more about our business area, please visit: Climate, Environment and Customer Services Responsibilities Ensure all administrative registration duties are completed accurately and in a timely manner, adhering to regulations outlined in the Handbooks for Registration Officers. Engage with stakeholders to identify requirements and deliver quality, timely, and accurate registrations. Apply specialist knowledge and experience to ensure effective registration activities, providing high-quality customer service. Collaborate with partners to ensure compliance with both external and internal regulations. Ensure compliance with all end-of-day accounting processes and stock management protocols. Handle all direct customer enquiries to the Registration Service via multiple platforms, including phone, email, MS Teams, and the online booking system. Process payments for services over the phone or via online systems when required. Manage daily tasks effectively in response to customer demand and seasonal peaks, ensuring smooth and efficient service delivery. Support team performance through effective teamwork, task prioritisation, and adaptability in managing demand fluctuations. Represent the Registration Service at events to promote available services and enhance public engagement. Contribute to continuous improvement projects across the Registration Service, fostering a culture that embraces change and drives service excellence. The Experience You Will Bring Educated to Regulated Qualification Framework (RQF) Level 2 or equivalent by experience. Ability to learn and develop new skills and knowledge within the workplace. Experience working in an administrative or customer service environment is desirable. Excellent communication skills, both verbal and written, with the ability to remain professional, calm, empathetic, assertive, and articulate in all customer interactions. Proficiency in ICT, with practical knowledge and application of the MS Office suite of programmes. Strong attention to detail and accuracy, ensuring compliance with service standards and regulations. Proven track record of delivering high-quality customer care in a fast-paced environment. Demonstrated ability to embrace change and work collaboratively with partners to continuously improve customer service.
