Big Day Productions is a thriving nationwide wedding photography and videography business. We are seeking an enthusiastic individual to join our team and ensure the seamless coordination and execution of our wedding services.
The ideal candidate will have prior administrative experience, preferably in the events industry, along with a passion for the wedding and events field. Working closely with our office staff, you will play a crucial role in upholding the highest standards of operation and organisation for all our wedding events.

Key Responsibilities:
* Manage all client inquiries, providing timely and well-written responses regarding wedding planning services. Promptly and effectively address client questions for new bookings.
* Deliver excellent customer service, ensuring clients receive attentive care throughout the entire process. Efficiently handle each booking.
* Liaise with clients over the phone as needed, answering incoming calls with confidence and demonstrating strong knowledge of our services and products.
* Coordinate wedding bookings, aligning all details with client expectations and requirements.
* Prepare and send contracts and invoices to clients, ensuring all paperwork is processed efficiently and accurately.
* Precisely input all client bookings into our systems.
* Work closely with the in-house team to maintain the smooth daily operation of the business, providing the highest level of customer service and managing client expectations.
* Dealing with any customer complaints promptly, with empathy.
As part of the office team, you will assist with various administrative tasks. This includes answering emails, offering advice and suggestions based on client needs, and preparing quotes using our current pricing. You will also be responsible for sending agreements and invoices to clients as part of our booking process, following up accordingly.
You will be the primary point of contact for client inquiries, primarily via email, though some phone conversations may be required. Ensuring an effective client follow-up schedule is a key part of this role.
Additionally, you will collaborate with our in-house office team to properly manage client bookings. Any additional services or changes requested by clients must be recorded and handled appropriately.

Job Requirements:
* Proven experience in client relations or a similar role within the events or hospitality industry.
* Outstanding organisational skills with a keen eye for detail.
* Excellent verbal and written communication skills, capable of building rapport with clients.
* Ability to manage multiple projects and deadlines in a fast-paced environment.
* Strong problem-solving skills and the ability to think on your feet.
* Familiarity with wedding planning processes and industry best practices is preferred.

* Demonstrating an exceptional eye for detail to ensure events are always delivered to the highest standards.
* Maintaining a calm, confident manner and a practical approach to problem-solving.

* FRIDAY - 8.30AM - 4.30PM
* SATURDAY - 10AM - 3PM
* SUNDAY - 10AM - 3PM
* MONDAY - 8.30AM - 4.30PM
Being available to work on your own over the weekend is necessary for this role, hours during the week can be flexible depending on your own personal circumstances, happy to discuss this.
A flexible approach and able to work additional hours during busier periods when required.
