We are seeking a meticulous and detail-oriented Retrofit Document Controller to join our team. The successful candidate will be responsible for managing and overseeing all documentation processes, ensuring that documents are accurately filed, tracked, and maintained in accordance with company policies and regulatory requirements. This role is crucial in facilitating effective communication and information flow within the organisation.
ACCOUNTABILITIES / RESPONSIBILITIES:
1. Project filing/Document control/Drawing updates/Technical co-ordination in relation to Retrofit Projects.
2. Track & manage all documentation associated with PAS and MCS-related works for our Retrofit Dept, based out of the Cardiff Head Office.
3. Maintain current templates on PAS and MCS documentation portals.
4. Maintain site folders on Company Shared Drive relating to PAS and MCS Documentation.
5. Upload information to PAS & MCS portals in a timely manner to facilitate inspections and audits.
6. Produce internal monthly status & progress reports on documentation and ad-hoc reports as and when required.
7. Liaise with Quality Mark over Insurance Backed Guarantees.
8. Liaise with Trustmark over queries relating to Measures.
9. Liaise with Scheme providers over information required for Assessments and Re-assessments for new and existing measures attained by LCB Group.
10. Create site folders/packs for new projects.
11. Audit Projects folders periodically to check all necessary documentation is in place.
12. Collation of information and preparation of O&M and H&S Manuals in liaison with Project leads and Site managers.
13. Process hard copy documentation from completed Projects on their return to Head Office.
14. Send Scheme Providers updates on measures installations by property.
15. Take & distribute minutes of Fortnightly Retrofit Review Meetings.
16. Provide assistance to colleagues in the Retrofit Team with administrative duties as required.
Key Skills, Knowledge, and Experience:
1. Construction or social housing background (preferred but not essential).
2. Minimum of 1 year of experience in document control, ideally in retrofit, construction, or engineering projects.
3. Excellent organisational skills.
4. Experience in working in a Project Office environment (preferred but not essential).
5. Ability to work under your own initiative and under pressure.
6. Ability to work as part of a team.
7. Excellent verbal and written communication skills.
8. IT Skills – MS Excel and Word and Document Control.
9. Ability to work closely with outside agencies/clients/contractors & Consultants.
