The key role of the Receptionist/Administrator is to effectively contribute to the Practice team by assisting the clinical team in the provision of services to patients by facilitating access and undertaking various administrative and support duties in an organised, efficient, timely, and courteous manner. Care navigation ensures the patient receives the highest level of care and signposting to the most appropriate clinical professional.

RESPONSIBLE FOR:
The delivery of Reception and administrative services to ensure an effective and professional service to patients and the Practice team. The role will be varied and will involve care navigating patients to the right services. We operate at 2 sites, our main site in Excalibur Drive and a branch site at 67 Thornhill Road, Cardiff.
Job responsibilities
DUTIES AND RESPONSIBILITIES
1. Answer the telephone in line with Practice telephone protocol.
2. Make appointments and generally attend to patients' requests in a prompt, professional, and courteous manner.
3. Give information to patients clearly, taking into account their individual needs and relay messages accurately to appropriate practice staff.
4. Prioritise the reception workload, dealing accurately with all administrative tasks.
5. Assist with the prescribing process and the issue of all acute and repeat prescription requests within practice timescales, following the prescribing protocol.
6. Extract relevant prescribing/administrative information from clinical correspondence and update individual patient computer records accordingly.
7. Undertake further training and development as necessary.
8. Be aware of the practice confidentiality and communication policies and maintain strict confidentiality/effective communication at all times.
9. Keep reception/administrative office areas tidy and be aware of and ensure health and safety regulations are maintained.
10. Undertake filing, shredding and photocopying as appropriate.
11. Carry out any other reasonable duties requested of you.
12. Deputise for administrative functions, in absence of colleagues.
13. Work with other team members to ensure deadlines are met.
Person Specification
Qualifications
* Maths (GCSE)
* IT use of Microsoft packages
Experience
* Previous reception/administrative experience, including use of Microsoft Office applications.
* Working in a healthcare environment.
* Experience of working with customers or patients, ideally in a Healthcare environment.
* Experience of working in Primary care.
* Experience of working with Vision clinical system.
Skills
* Excellent organisational skills.
* Ability to communicate at all levels (oral and written).
* Evidence of using own initiative in varying circumstances.
* Able to respond to changing pressures and deadlines.
Personal Attributes
* A team player, motivated, conscientious, enthusiastic, and reliable.
* Can manage own time and workload with minimal intervention.

Additional Information
* Flexibility in working hours, ideally working Tuesday and Friday afternoons between 1.30pm and 6.30pm.
* Full training will be provided to ensure the right candidate is fully equipped with protocols and knowledge in order to deliver a great service to our patients.
