Description
An exciting opportunity has arisen in the Long-Term Care team within Primary Care Directorate Hywel Dda University Health Board.
The successful candidate will provide robust administrative duties as well as project and business support, including reviewing, improving documentation processes, implementing ideas for change, and ensuring business continuity of the Service.
Candidates must have experience of working in busy office environments, including communication on highly sensitive matters, and the use and development of spreadsheets and databases.
To be successful in this role you will need to have strong organisational and communication skills, with experience in management ideally within the NHS and with knowledge of Continuing Health Care.
Main Duties
1. Lead and manage the Business Support Function of the Long-Term Care Team, including line management, supervision, and training & development of sub-team members.
2. Manage the Long-Term Care Team's generic email account and respond to / reroute email requests received.
3. Provide effective administrative, secretarial, project, and business support to the Long-Term Care Team.
4. Be responsible for all levels of enquiries regarding Continuing Healthcare and NHS Funded Nursing Care, as the first point of contact in West Wales.
5. Provide a comprehensive and effective administrative, secretarial, project, and business support service to the Health Board's Continuing Healthcare and NHS Funded Nursing Care processes.
6. Support the Senior Management Team (and wider Long-Term Care Team) in the review, interpretation, and implementation of prescribed policies and procedures.

Qualifications & Knowledge
Essential
1. Educated to degree level in a relevant subject or equivalent level of relevant knowledge or experience.
2. Understands the key business functions of large organisations.
3. Understands how communication styles can affect people differently, and how to adapt to achieve the best outcomes.
4. Knows how to manage small-scale, discreet projects.
Desirable
1. Is educated to advanced level or equivalent.
2. Has knowledge of Continuing Healthcare and NHS Funded Nursing Care.
3. Has attained a Quality / Service Improvement qualification.
Experience
Essential
1. Has experience in undertaking a full range of administrative duties in an office environment.
2. Has experience in working in a busy environment, undertaking varied duties of a complex, sensitive, and intense nature.
3. Has experience in handling challenging phone calls, emails, and other forms of communication from members of the public.
4. Has experience in using Microsoft Office packages (Excel, Word, PowerPoint, and email).
5. Has experience in developing spreadsheets and databases.
6. Has experience in preparing performance reports.
Desirable
1. Has experience in working within the NHS.
2. Has experience in team leadership and/or management.
3. Has experience in developing, maintaining, and using Microsoft SharePoint sites.
4. Has experience of analysing data, identifying areas of concern, and suggesting remedial actions.
5. Welsh Speaker (Level 1).
