As an Operational Support Officer with the Richmond & Wandsworth Better Service Partnership, you'll provide technical and administrative support for Highway Operations, Street Scene, and the Direct Services Organisation (DSO), focusing on Building Maintenance and construction works.
You'll manage enquiries, process invoices, book jobs, and schedule appointments for contract supervisors, directly contributing to residents' comfort and safety. Your role includes general office administration, responding to enquiries, maintaining financial records, and using IT systems to generate reports and produce enforcement letters.
Your work will support the goal of providing high-quality service at the lowest cost, collaborating within a team and reporting to a Support Supervisor.
About the role:
The role of an Operational Support Officer involves providing administrative support specifically for building maintenance and construction works within Highway Operations, Street Scene, and the Direct Services Organisation (DSO). This includes managing enquiries related to building maintenance works, processing invoices for building materials and services, collecting income from completed works, and scheduling appointments for contract supervisors.
The role requires proficiency in using IT systems such as ROCC, Confirm, and Integra for managing construction data and generating reports, as well as experience in financial reconciliation and maintaining accurate financial records for building projects. Effective communication skills are essential for interacting with contractors, suppliers, operators, and other stakeholders, and strong organisational skills are needed to manage construction-related workload with minimal supervision.
Additionally, the role demands the ability to work collaboratively within a team and adapt to meet the dynamic needs of building maintenance and construction projects. Knowledge of designing spreadsheets, maintaining record-keeping systems, and using Microsoft applications is also necessary to achieve the objectives of the role.
Essential Qualifications, Skills and Experience:
* Technical and Administrative Proficiency: Demonstrated ability to undertake technical, administrative, and financial support functions, including managing enquiries, processing invoices, and collecting income.
* Communication Skills: Effective oral and written communication skills to interact with members of the public, staff, senior management, and external stakeholders.
* Team Collaboration: Experience working collaboratively within a team, demonstrating flexibility and adaptability to meet business needs and support continuous service improvement.
* Industry knowledge: Have some knowledge of Building Maintenance, Construction or similar industry.
* IT Systems Knowledge: Proficiency in using IT systems such as ROCC, Confirm, and Integra for generating reports, logging data, and conducting routine analysis of management information.
* Organisational Skills: Proven ability to organise and manage workload with minimal supervision, ensuring compliance with established procedures and delivering high-quality support.
* Financial Acumen: Experience in financial reconciliation, maintaining accurate financial records, and following established financial business procedures.
