Operations Management Intern
Location: Cardiff, GB
Sapiens, a leading Global provider of software solutions to the insurance industry, is hiring a temporary Operations/Office Administrator to be based at our Cardiff Bay office.
This is a temporary ongoing opportunity (covering sickness absence), to start as soon as possible, for 15 hours per week (negotiable to work around childcare etc).
This is an excellent opportunity for somebody who has administration experience, who enjoys working autonomously, and needs to flex their working hours.
Location: Cardiff Bay (on-site parking is provided)
Working model: Office-based (3 hours per day, 5 days per week)
About the role …
Being a key member of the Sapiens Global Operations team, you will oversee the smooth running of the Cardiff Office and provide support as follows:
1. Fielding calls for the Cardiff team and acting as the first point of contact for all staff and visitors to the Cardiff office.
2. Dealing with all mail received at the Cardiff office.
3. Monitoring the Operations mailbox in Microsoft Outlook for staff queries and supplier invoices.
4. Liaising with suppliers, building security, and management, as and when necessary.
5. Ordering items for colleagues and new members of staff as required, tracking the spend accordingly.
6. Working with the IT team to arrange the shipment of new equipment to staff who are working from home.
7. Basic finance: requesting purchase requisitions and ensuring that supplier invoices are forwarded to our Finance team in a timely manner.
8. Providing basic Health & Safety at Work advice to the UK team and acting as Fire Marshal and First Aider for the local Cardiff site.
9. Providing general administration support to Operations, IT and HR teams as necessary.
Skills and experience required …
1. A minimum of 2 years administration experience gained from working in an office.
2. Knowledge of basic health & safety at work regulations.
3. Excellent attention to detail.
4. Excellent verbal and written communication skills.
5. The ability to manage your own workload.
6. Experience of basic finance – calculating VAT etc.
7. Be adept at picking up new systems.
8. Excellent working knowledge of the Office 365 suite.
9. Recent First Aid at Work or Fire Marshal training will be a big advantage.
