Our client is a looking for a Project Officer to join their team and work with the Womens and Children Programme Delivery Manager on a fixed term contract until 31 st March 2025. This is a hybrid role, with 2-3 days in the London offices. About the Role: The role of the Planned Care Team is to manage the design, development, delivery and oversight of routine, prioritised urgent and cancer-related planned care services for adults and children across North West London delivered by our provider partners within the businesses, Independent Sector and Voluntary Sector. The team is responsible for working in partnership with providers, patients, and other key stakeholders to design end-to-end pathways and services that meet the health needs of the NW London population, recognising the challenges of ensuring access and equity for all residents. The team has 4 main focuses: Reducing identification gap Reducing diagnosis gap Reducing Treatment gap Improving access The team will be responsible for working with partners to ensure service delivery and maintaining oversight of services. The postholder will be a key member of the programme/ borough team. The teams aim is to work in partnership with local partners and communities to com improving health outcomes, tackling health inequalities, enhancing productivity and value for money, and contributing to broader economic and social development. This role will support on delivery of this approach, working with the team to support a culture of collaborative innovation and integration across partners, including residents. The postholder will have a key role in both day to day support of defined projects and in supporting wider team deliverables through efficient and responsive administration. The postholder will be a motivated, organised individual who is a self-starter, able to adapt to new ideas and ways of working as they support the delivery of the ICB ambitions. Working closely with the Programme/ borough team, local boroughs and teams to improve integrated care across the health and social system. You will provide day to day support to the programme across several key workstreams and defined projects through professional, efficient and responsive administration. The Delivery Officer function has two core responsibilities: Governance and committee management - this includes managing the logistics, organisation, distribution of papers and minuting of key forums as appropriate such as Monitoring and reporting function of delivery programmes and workstreams. Tracking and reporting programme risk and issue logs, risk reports, progress reports, dependency logs, action logs; Working closely with other programme and team colleagues, you will be expected to: provide senior administrative support to the programme of work being undertaken; ensure effective, high-quality project support and reporting; actively engage and work collaboratively with colleagues and partners. In order to meet personal development objectives and programme requirements, programme alignment may change over time. All team members will be expected to work flexibly across the teams as and when required and the Directorate requires and actively encourages cross-working. The post-holder will be expected to have an awareness of the work of the teams on reducing health inequalities and will develop and maintain strong working relationships both within the organisation and with external partner organisations. Main Responsibilities: Main responsibilities will include provision of full administrative support to the Department Senior Management Team. This will include: Responsible for providing admin support to the Programme based team as required and in line with defined work areas, carrying out standard office and administrative functions, including but not limited to: Distribute accurate minutes, reports and documentation in a timely manner (as mandated) Diary coordination and setting up of meetings/events meetings (both in person and via MS Teams) and ensuring that preparation for meetings is undertaken efficiently and with adherence to timescales; Preparation, coordination and distribution of agendas; Minute taking, action log recording etc. to include distribution and chasing updates as appropriate Prioritising workload across the team and deadlines to completion Support the development and completion of workstream plans within the team Act as point of contact for the team, dealing and responding effectively to complex queries Devising and maintaining office systems, including data management and filing Working with the team to ensure that project documentation is kept updated at regular intervals Using analytical judgment to understand whether team projects are achieving the required standard, and reporting this back to make recommendations for improvement Supporting the team to plan work schedules and simple programme or project plans Proactively suggesting ideas on improving policy or working practices Using information systems to understand programme delivery progress and understand and coordinate project/ programme linkages Effectively managing the work / meeting schedule of the team in consultation with your line manager and regularly inform them of appointments, actions and deadlines Managing and co-ordinating the Gynae and Sexual Health CRGs meetings, circulating events, background papers, taking action notes and follow-up actions Liaising with key personnel Ensuring action logs and risk logs are maintained in advance of meetings Ensuring meeting rooms are set up with audio visual equipment and refreshments Assisting in the collation of electronic files for distribution to meetings and occasionally when required the printing, collation and distribution of paper documents. Dealing with incoming emails and post, drafting or arranging the drafting of correspondence on the behalf of the team Monitoring the Planned Care mailbox and ensuring that all mail is dealt with efficiently and effectively Dealing with basic financial management tasks including creating Purchase Orders and drafting MoUs, approving small payments and maintaining spreadsheets to track progress in expenditure. Responsible for decisions made during the course of duties, seeking guidance and escalating issues where appropriate Assist with the delivery and consistent communication of project plans and workstreams, as directed by line manager and raising any issues with delivery to line manager Supports the Programme team in delivering the core functions of the ICB and delivering National standards- Governance, assurance and oversight, performance, and quality of local services Understands the connection between the large-scale infrastructure of the ICS and the Programme to ensure improved resident outcomes Responsible for day-to-day support to the team for allocated work areas/localities, using knowledge of effective administrative procedures and project management systems acquired through training Reducing Inequalities To ensure services are developed and provided in a way that provides equal access and care for all our residents Promote approaches where residents views actively shape service and care provision Use data and information to actively review and monitor the impact of services and decisions on our diverse population, taking action where necessary to ensure greater equality of impact Ensure that Equality Health Impact Assessments (EHIA) are proactively undertaken for all service developments Promote a culture that embraces equality and strives continuously to reduce inequality for all NW London residents and staff. Quality Improvement The role will require adopting a methodical approach to Quality Improvement through change that ensures safe, effective, patient-centered, timely, efficient and equitable care for patients, service users and staff. The effects of which are measured regularly to determine whether an improvement has been achieved through system and financial benefits. Applying these methodologies to service innovation on behalf of the system to deliver strategic change to accelerate productivity by reducing waste.
