The Role The role holder is expected to undertake a wide range of secretarial administrative activities to support senior management, their teams and assist in the smooth running of the department including Executive Assistant support when required. The role holder is also expected to be an experienced secretarial administrator with a comprehensive understanding of the systems, processes and procedures of the department. Role Responsibilities: Not limited to Undertakes a range of specific secretarial and administrative duties to provide support to Senior Managers and management teams and contribute to the smooth running of the department. Support and control diary management and meeting requirements for line manager ensuring appropriate time management to allow adequate meeting preparation. Arranging and co-ordinating travel requirements and associated costs using Company systems, working to budget constraints and optimising use of Manager's time. Communicating in an efficient and professional manner, to internal and external stakeholders. Liaising effectively with stakeholders (colleagues/other internal teams/customers/suppliers) making sure a proactive response is maintained when dealing enquiries and the exchanging of information. Operating in accordance with departmental/Company procedures. Proactively collating and analysing information from various sources in order to produce reports, schedules, presentations, summaries and letters as required for internal/external distribution. Prioritise own workload in order to meet deadlines without compromising quality standards, and check own work for accuracy and completeness. Administration and maintenance of documents/data to ensure swift and accurate traceability, together with the use of all relevant departmental systems. What BAE Systems are looking for, from you: Considerable experience of providing secretarial support to a Senior Manager, or significant experience of providing an administrative service. Have experience of building and maintaining effective relationships with senior management, and internal and external stakeholders. An understanding of how to deal with Confidential Information/Issues and how to store appropriately. Have good understanding of the Company, its structure and relevant procedures. A good understanding of Key Senior Stakeholders within the business Developed administrative skills including: ability to collate data and produce professional presentation material including reports, papers and visualisation boards. establishment and maintenance of information systems, including physical and electronic files. transcribe dictated or written materials, take minutes at meeting and/or attend and participate when required. A good working knowledge of Microsoft Office. Security Requirements: SC & UK EYES ONLY This role will require the person to hold full Security Clearance (SC) prior to working onsite. You will need to obtain a BPSS check as part of this process. You must currently hold or be eligible and willing to obtain SC and you must be eligible to work in the UK without sponsorship and have lived and worked in the UK for a minimum 5 year period. The Umbrella rate quoted above is the Gross Umbrella rate (i.e. the rate we pay to the Umbrella Company inclusive of ALL employment costs).
