Project Overview:
Known as one of the four most hazardous buildings in Western Europe, the Sellafield Pile Fuel Cladding Silo (PFCS) was commissioned in 1952 to safely store radioactive cladding – pieces of metal tubes used for uranium fuel rods in some of the UK’s earliest nuclear reactors. The UK government has partnered with Bechtel Cavendish Nuclear Solutions to deliver a system that will allow Sellafield to retrieve the decades-old waste, package it safely, and dispose of it permanently.
The project is part of a UK Nuclear Decommissioning Authority program to decommission nuclear storage facilities dating to the early 1950s.
The project entails the detailed design, procurement, manufacture, works testing, delivery to site, installation and commissioning of a complex system for cutting access holes into the silo that include shielded access doors, a robotic waste retrieval arm, waste transporters, and repackaging plants. The team also is utilizing virtual reality and mockup training facilities to enhance operations.
Job Summary:
In this role, you will perform administrative duties that require proficiency, accuracy, judgement, initiative, discretion, and knowledge of protocol. You will handle both routine and complicated items, such as coordinating travel, preparing expense reports, and composing correspondence. Your ability to anticipate problems and changing priorities will help bring efficiency and organization to your team.
Major Responsibilities:
* Manages the project calendar and facilitates meeting room bookings
* Takes on PA responsibilities for senior members of the team as required
* Manages travel and hotel bookings for the team
* Manages agency timesheets and expenses in accordance with procedures, maintaining excellent attention to detail
* Utilises advanced Microsoft office skills to support the management team in the preparation of high-quality documents including PowerPoint presentations, charts and reports.
* Ensures a robust stock management system for office supplies
* Devises, reviews and improves administrative systems and ways of working
* Takes necessary care to properly protect the confidentiality, integrity and availability of information from unauthorised disclosure, modification or destruction.
* Undertakes all other reasonable duties as required
* Performs routine to complicated administrative duties of a responsible and confidential nature, under minimal supervision
* Handles routine and complicated items independently and anticipates problems and changing priorities
* Duties require accuracy, judgment, a moderate degree of initiative, discretion, diplomacy, and knowledge of protocol; Works with confidential information
* Anticipates changing priorities and problems, alerting the manager as required
* Coordinates travel arrangements and travel itineraries; Prepares detailed expense reports using Concur or other expense report software as required
* Composes routine correspondence for appropriate signature; Reviews outgoing correspondence to ensure accuracy and proper format; May be required to send documents to the client’s document management system
* Assists in coordinating internal and/or external meetings, maintaining calendar using Outlook or other calendar software, as appropriate
* Compiles and distributes conference notes and meeting minutes, and the action items that result from the conferences and meetings
Education and Experience Requirements:
Requires several years of related experience
Required Knowledge and Skills:
* Ability to obtain BPSS clearance
* Excellent written and verbal communication skills
* Strong organisational skills
* Able to effectively prioritise and work flexibly under pressure to ensure deadlines and changing priorities are met
* Self-motivated and able to work independently as well as as part of a team
* Enthusiastic with a willingness to learn and develop
* A good understanding of the importance of confidentiality
