The Apprentice Directorate Admin Support is a developmental role and will assist the Directorate Managers for the Ophthalmology directorate by providing comprehensive and efficient administrative support within agreed timescales. The post holder will be accountable for day-to-day admin duties and will be required to cover a number of different roles, to ensure we meet the Trust targets whilst studying for a relevant qualification. To assist with the day-to day managing and bookings of the ECG diagnostic waiting lists along with reception and telephone duties. Use initiative in reviewing emails and incoming mail and act where appropriate. Identify where actions need to be prioritised by the requesting Consultants, Physiologists and Division Managers. Complete a variety of administration duties i.e., photocopying, shredding, laminating, and managing various mailboxes. Support clinical and administrative staff re: recording of accurate RTT data on Patient Centre /PAS. Answering the telephone - internal/external, taking messages and action where appropriate. Retrieve and safely secure patient's records for investigation and reviews. Maintenance and inputting patient data onto electronic databases - Prism & PAS To support audit functions and data collection. To undertake any other duties which are deemed appropriate to the grade when requested by manager. Handle confidential and sensitive information appropriately (support will be provided as necessary) and liaise with the relevant member of staff that it may need cascading to as a matter of urgency. To access a number of NHS databases / IT systems to secure accurate information regarding the patients for accurate dissemination. Prioritising a busy workload.
