We are looking to recruit a Branch Administrator to join our Team based in our Bathgate Office in Scotland. The successful candidate will support the administrative needs of the business, providing consistent and accurate assistance on matters relating to business objectives in areas such as customer satisfaction, profitability, and employee morale. This is a full-time and permanent role.
Duties & Responsibilities:
1. Ensure the proper execution of offers, sales orders, final goods issue, contracts, and invoicing.
2. Maintain and display a professional decorum in all dealings with customers, especially complaint handling.
3. Register and modify non-financial Account & Contact data.
4. Responsible for the correctness of his/her entries Account & Contact data over time.
5. Maintain and process all TCT data including payroll relevant one, parts orders, and service planning documents in order to have an efficient field process in Maintenance, Repair and Modernization.
6. Maintain all El relevant databases, technical database, customer and contract database.
7. Maintain vigilance in all customer dealings to detect "Warning Signs" of customer dissatisfaction and possible contract cancellation; immediately communicate all such concerns to line manager.
8. Understand and interpret follow-up reports for contract renewals, outstanding offers, and past due receivables.
9. All employees are required to work in accordance with established Company Occupational Health, Safety and Environmental policies and procedures to ensure compliance with current UK legal requirements and Schindler Group safety requirements.
10. Employees must comply with Company Health & Safety requirements and set a personal example of safe behaviour.
11. Employees will be required to contribute to the Company safety objectives, where necessary by maintaining/monitoring current safety systems under their direct control and implementing agreed changes (where applicable) to Schindler Ltd occupational health and safety management system.
12. Daily contact with External and Internal Customers, Service Leaders, Managers, and Regional Directors.
Candidate Requirements:
1. Previous experience within an administrative role, preferably in a fast-paced environment.
2. Excellent customer service skills as will be dealing with a range of stakeholders.
3. Great knowledge of Microsoft Office and high attention to detail.
4. Ability to cope with a busy workload.
5. Able to work well within a busy team and support each other.
6. A self-starter and good multitasker.
7. Resilient and innovative.
