Innovation: Embrace change and encourage innovation Job Summary: To provide accounting and administrative support to the Building Manager, Building Administration & Operations Manager, Building Services Manager and the wider building team. Working 3 days a week, Mon - Weds. Main Responsibilities: To collate, monitor and analyse property service charge expenditure and income To support the admin team with raising Purchase Orders and record all purchase order raised on the building’s PO Tracker To run a monthly report highlighting any open / unreceipted purchase orders and chasing both internal staff and external suppliers for updates, actioning closures as necessary. To support the team with processing invoices and ensure these are prepared in accordance with the agreed procedures and are correctly coded. To monitor any tenant recoverable expenditure and raise and process charges back to the service charge budget. To work alongside the Building Operations and Administration Manager to raise all tenant utility billing on a monthly and quarterly basis. To reconcile, monitor and analyse the financial reports monthly To liaise with energy consultants to ensure accurate and up to date utility (electricity, gas and water) data is provided and being used for billing. To monitor utility expenditure and track incoming and outgoing expenditure in relation to electricity, gas, water and energy. To prepare and assist the Building Manager and Building Operations and Administration Manager with annual budgets and year end financials as necessary. To assist tenants with queries related to the property service charge expenditure, income and other billing queries. To assist with forecast budget savings and additional expenditure. To assist with leasing related matters when relevant e.g. lease records, data allocations and apportionments of multi tenanted floors. To set up billing processes for any new tenants, ensuring meter reads are taken and statements are being received. Similarly, to also process final billing for any tenants who are vacating the building. To provide information to auditors and assist with the audit process as To carry out any other reasonable duties as requested by the Building Manager, Building Services Manager and Operations and Administration Manager. Salary: 43,606 (pro-rated) Closing date: Monday 13th January 2025 What We Require of You: The incumbent should possess good administrative skills and have at least 2 years’ experience in working in a property environment. The incumbent should have strong experience and background in an accounting environment. It is desirable to have experience working with major clients in the financial sector. Computer literacy is essential. Knowledge of Microsoft Word, Excel and Outlook is essential. The incumbent must be able to use their initiative, communicate at all levels and deal with problem situations. The incumbent must have strong interpersonal skills and be polite and courteous to all tenant visitors and contractors. The incumbent must be well presented and have a flexible and organised approach to work and be able to manage a heavy workload. The incumbent must be a team player who is hardworking and able to work under pressure. The incumbent must have an appreciation of the importance of customer service and how this is applied in the context of Canary Wharf.
