We are looking for a dedicated and organised Project Support Officer to join our Ophthalmology team.
In this role, you will provide essential support to the Senior Service Manager, ensuring the smooth planning, coordination, and delivery of projects. Responsibilities include maintaining documentation, tracking progress, facilitating communication across clinical and administrative teams, and assisting with resource allocation. The ideal candidate will have strong organisational skills, attention to detail, and the ability to work collaboratively in a fast-paced environment.
Main duties of the job
* Liaise with Care Groups, wards, departments, and other providers to ensure an efficient service is maintained and projects are delivered on time.
* Develop and maintain good working relationships with colleagues across the Trust and external partners.
* Work under pressure, use own initiative, and work from minimal instruction to assist the Care Group's senior management team with their workloads.
* Provide efficient customer service, welcoming visitors and dealing with enquiries in person or via letter, email, or telephone.
* Undertake effective electronic diary management where appropriate, including arranging meetings/conferences.
* Manage meeting agenda preparation, take minutes/notes, and develop/record actions in meetings, workshops, task & finish groups, etc., allocating a lead and timescale for completion, and ensuring updates are received in a timely manner.
* Perform project management duties such as liaising with coordinating programmes of work/activities.
* Provide analysis and support for the successful delivery of projects.
* Assist the Divisional Teams in developing and delivering projects on time and to budget.
* Assist with day-to-day project management duties and small-scale projects commensurate with level of knowledge.
* Assist and develop project reports in line with Head of Information and Governance instructions.
* Support the operational divisional teams with preparation for meetings, performance reviews, peer reviews, GIRFT, etc.

Person Specification
Experience
* Experience of project support and procedures, preferably within the NHS.
* Good understanding of the NHS and trust hierarchy.
* Experience of projects and team administration, including version control and maintenance of risk and issue logs.
* Developing agendas and maintaining action logs.
* Proven organisational, administrative, and planning skills to support the set-up, management, and development of project logs.
* Experience of working with clinical staff, senior managers, and leaders.
* Minimum 2 years experience in a project support role, including at least 1 year experience in ophthalmology.
* Experience of coordinating resources and managing rotas.
Qualifications
* Educated to A Level/Diploma level 3, foundation degree, or equivalent experience.
* Evidence of continued professional development.
Skills
* Understanding the principles of project management.
* High-level knowledge of Microsoft Office applications.
* Project support knowledge and administrative procedures.
* Proven organisational and planning skills.
* Able to present data in a clear and understandable format.
* Able to work under pressure while meeting deadlines.
