About the Role Reporting to the Director of People & Operations, the HR Operations Manager is a pivotal role within Adam Smith International (ASI), responsible for ensuring the smooth and efficient operation of HR systems, processes, and policies. This individual will be a champion for our people, fostering a positive, inclusive, and high-performing work environment that aligns with our company values and strategic goals. Overseeing and Managing HR Operations: Lead the day-to-day operations of the HR function, ensuring efficient and effective service delivery. Coordinate HR activities across multiple countries and time zones Support the entire employee lifecycle, from onboarding to offboarding, ensuring a positive employee experience at every stage. Utilise HR dashboards and reports to track key metrics and identify areas for improvement. Manage own HR budgets and resources effectively. Oversee the People Team Inbox and assign to relevant team members (powered by Zoho) Ensuring Smooth Running of HR Functions and Cross-Team Collaboration: Coordinate with other HR team members to ensure seamless execution of HR programs and initiatives. Collaborate with other departments (e.g., Finance, IT, Legal) to align HR processes and systems with overall business operations. Foster a collaborative and supportive team environment within the HR department. Compliance and Policy Management Regularly review and update to ensure that HR policies and procedures are up to date and compliant with legal requirements and industry standards globally. Benefits and Payroll Manage all aspects of employee compensation, in collaboration with finance, including salaries, process deductions and ensuring timely payment. Optimise payroll processes to ensure quality and efficiency. Lead a review of payroll outsourcing, managing the outsourced provider selected. Oversee benefits review and negotiations with suppliers, in collaboration with the Benefits Lead. HR Data Management Data Management: Ensure HR information systems maintain accurate and secure employee data, supporting efficient HR operations. HR Analytics: Use HR analytics to provide insights into workforce trends, helping inform strategic decisions and improve HR processes. International and Field Operations International Mobility and Logistics: Support the logistics of international assignments with our local People Partners Legal Compliance: Work with our local teams to ensure compliance with employment laws and regulations across different countries where the organization operates. Organisational Development Contribute to the development and implementation of team projects, offering insights and expertise from an HR perspective. Participate and lead cross-functional teams and initiatives to drive positive change across the organization. Change Management: Facilitate organizational change initiatives, particularly those resulting from shifts in international development strategies or government advisory needs. Diversity and Inclusion: Promote a diverse and inclusive workplace, crucial for global operations and fostering innovative solutions in international development. Internal Communication Work with our internal communications team regarding HR policies, changes, and initiatives, ensuring clear, consistent, and effective messaging across all levels of the organization. Deputizing for the Director of People & Talent: Represent the HR department in leadership meetings and decision-making forums. Act as the primary point of contact for HR-related matters in the absence of the Director. Provide strategic input and support to the Director on key HR initiatives. Serve as a trusted advisor to employees and managers on HR-related matters, providing guidance on policies, procedures, and best practices. Job requirements: Minimum Requirements and Qualifications: Bachelor's degree in human resources management, Business Administration, or equivalent experience. 3-5 years of progressive experience in HR operations, preferably in an international context. Strong knowledge of HR best practices, employment laws, and data protection regulations. Experience with HRIS systems and data analytics. Experience in payroll and benefits management. Excellent communication, interpersonal, and problem-solving skills. Ability to work effectively in a cross-cultural environment.
