What we are looking for: Reporting to the Front Office Supervisor, you will provide support during the busy summer racing period in the lead up to Royal Ascot and until just after the Dubai Duty Free Shergar Cup raceday. To greet all visitors to the racecourse, work on the reception desk and telephone switchboard and carry out general office duties. These duties include the handling and organising of all incoming and outgoing mail as well as managing the ordering and stock-control of office stationery and kitchen supplies. To respond to all emails and telephone enquiries incoming to the Reception Inboxes including - Access Officer, Charity Requests, Local Residents and Lost Property. To provide assistance in processing internal meeting room requests liaising with 1711 for any catering requirements. As required, this role will support the wider Ticketing and Fulfilment team with whatever tasks as required. Attendance on all racedays during the contracted period will required (including Saturday 21 st June, Saturday 12 th July, Saturday 26 th July and Saturday 9 th August). You will have the ability to work well in a fast paced environment, under pressure and as part of a team. This is a full time temporary role working primarily Monday to Friday from 24 March 2025 to 15 August 2025. Your attendance on Saturday racedays will also be required. Due to the nature of this role, please note that extended lengths of leave will not be approved in the months of May and June. What you’ll be doing PRINCIPAL RESPONSIBILITIES Greeting all visitors who present themselves to reception, using excellent customer service skills and re-directing them or notifying the appropriate departments of their arrival. To respond to all emails and telephone enquiries incoming to the Reception Inboxes including - Access Officer, Charity Requests, Local Residents and Lost Property. Maintaining, by example, Ascot Racecourse's high standard of telephone and customer call handling. Accepting deliveries, making the recipients aware of their arrival and maintaining a “clear Reception” policy. Sorting and allocation of incoming post. Sorting and processing of all outgoing post via the Royal Mail OBA & Click and Drop online systems, ensuring they are allocated to the correct departments. Liaising with Royal Mail as required regarding deliveries and reordering of postal supplies. Arrange couriers on an ad-hoc basis as required. Assisting with face to face ticket sales and enquiries at the front desk, as and when demand requires it. These will be both for general enquiries and the Royal Enclosure. Ensuring all lost property and left luggage items are dealt with promptly and efficiently, as per the departmental procedures. OTHER RESPONSIBILITIES Support the Ticketing and Retail Team as required in the lead up to Royal Ascot and the summer racedays Such other duties as the Company may, at times, reasonably require. Skills and experience you can bring Professional personal appearance appropriate for the Reception desk of a prestigious venue Excellent administration details Excellent attention to detail. Accuracy at all times. A good understanding of address formats and postcodes, both UK and overseas. An understanding of the events industry and the rhythms in which this functions. Good ICT skills, e.g. Microsoft Outlook, Word and Excel.
