To support the work of the Central and East London Breast Screening Service by accurate, efficient and timely execution of essential operational activities that support inviting women for breast screening and the scheduling of clinics and appointments, under the direction of the Service Manager.
To liaise closely with other admin officers to ensure integration of functions and facilitate providing cover for periods of short-term absence.
All admin officers are expected to develop the knowledge and ability to provide cover for key elements of other departmental work. The specific elements to be covered by each Admin Officer will be specified by the Service Manager, who will also arrange appropriate training.
To deliver support services those are in line with the Trust and NHS Breast Screening Programme (NHSBSP) guidelines and targets.
Within the given area of responsibility to use experience and judgment to provide appropriate advice and guidance, referring to the Service Manager as necessary.
Contribute and innovate as a member of the Central and East London Breast Screening Service team.
• To deal with telephone queries in a very busy office. This will include making, changing, and cancelling appointments.
• To ensure that the correct appointment letter is sent to the client to confirm their appointment. This must include detailed instructions regarding location.
• To cover reception as necessary. This will involve meeting and greeting the clients and dealing with their queries, as well as ensuring that the correct paperwork has been printed for use so that the client can be screened and receive appropriate care.
• Ensure that clients recalled for further assessment or external referrals
requiring biopsies are appointed in a timely and appropriate manner, depending on clinical status, and waiting times performance.
• Ensure that relevant paperwork is sent across to treating hospitals when
dealing with referrals post reception.
• Ensure patient’s notes are stored in a safe manner in line with Trust
requirements.
