The Finance Team at The National Archives is part of the Corporate Services Directorate along with IT Operations and Estates & Facilities.
The Accounts Payable (AP) and Accounts Receivable (AR) functions sit within the Financial Accounting team and play a key role in ensuring the smooth day to day operations of all transactional processing.
We are looking for an individual to join the Financial Accounting team, reporting to the Finance Manager, to work on all aspects of AP and AR. The purpose of the role is to ensure the long-term stability and success of our transactional processing; delivering excellent customer service to the business while adhering to all relevant policies and processes and maintaining compliance with all statutory regulations.
This is a part time role of 21.6 hours per week (0.6 FTE). A combination of onsite and home working is available and applicants should be able to regularly travel to our Kew site for a minimum of 60% of their work time.
Job Description
Role and Responsibilities
Transactional Processing:
* Ensure accurate and timely input of purchase invoices into the ERP system.
* Raise sales invoices/credit notes as appropriate.
* Resolve queries from suppliers, customers and colleagues on payments, receipts, coding of transactions etc.
* Post bank transactions into the ERP system on a daily basis.
* Ensure effective audit trails to support transactions, reconciliations and approvals.
* Prepare back-up documents for reconciliations, as required.
Debt Management:
* Run off customer statements and send to customers on a routine basis.
* Reduce aged debt by performing all necessary credit control processes.
* Build and maintain strong relationships with colleagues, customers, and key stakeholders, at all levels, to resolve debt related issues.
* Responsible for maintaining customer accounts on the ERP system and preparation of reconciliations of the debtors ledger.
* Obtain support for write-off evidence where necessary.
Audit:
* Collect audit sample evidence and documentation as directed.
* Liaise with auditors to resolve queries on audit samples as they arise.
Reporting:
* Prepare Transparency reports for review for publication on our website.
* Maintain reports detailing agency staff time.
* Any other ad hoc reporting required by the team.
Other:
* Partner with the business and other stakeholders to help them understand and follow finance policies relating to AR/AP.
* Facilitate continuous improvement in processes relating to AR/AP.

Person Specification
Essential criteria:
* Experience of Accounts receivable role.
* Good numeracy and literacy skills with strong attention to detail.
* Strong verbal and written communication skills with high-level interpersonal skills and the ability to engage with others.
* A team player with a flexible approach, willing to assist with various ad hoc tasks where required.
* Knowledge of Microsoft Office, particularly Excel.
* Experience of Workday Finance system.
Desirable criteria:
* Experience of working within a government finance team
* Experience of working with data.
