Established in 2014, the company has grown very quickly and currently has a team of 29 and growing. We have offices based in Wimborne, Basingstoke and Central London. Our team is made up of a mixture of sales, delivery and operational staff, all of whom work hard in their specific roles. We are seeking a Sales Support Specialist to support both the head of sales and the sales team.
Job Summary
The role will be pivotal in supporting the sales team by managing various aspects of sales operations, processes, and systems. This role requires a strong multitasker with exceptional communication skills and a keen eye for process optimisation.

The ideal candidate will be resilient, assertive, and able to build strong working relationships while ensuring smooth co-ordination and support across the department.
Key Responsibilities
Sales Support
* Provide administrative support to the sales team, including help with co-ordinating and scheduling site visits, client meetings and managing travel arrangements.
* Arrange customer demonstrations and proof of concepts.
* Assist in the co-ordination and preparation of sales proposals working with the sales team and marketing team to ensure these are presented to optimal MVS brand specifications.
* Work with the sales team, Head of Sales and MD to ensure all sales quotations are reviewed in accordance with customer timelines.
* Coordinate RFP responses and maintain our data library.
* Complete PQQs and supplier onboarding platforms.
* Help with preparation of sales contracts, and other relevant sales documents.
* Co-ordinate, schedule and drive the monthly all hands sales team meeting including agenda preparation, meeting follow up and action tracking.
* Prepare quotes (Excel) and proposal documents (Word/ PowerPoint).
* Provide email coverage when team members are on leave.
* Perform ad hoc data entry projects to support sales and marketing.
Sales Process Management
* Collaborate with cross-functional teams to ensure seamless coordination between sales, marketing and projects.
* Oversee and update the company CRM system (HubSpot) at various sales process stages to maintain data integrity.
* Support the Head of Sales and account managers to proactively ensure all pipeline data held in HubSpot is up to date and accurate.
Sales Order Processing
Oversee the sales order process, ensuring accuracy and timely processing of orders.
Ensure our customers are communicated with at every step of the journey.
Coordinate with the purchasing and projects team to manage product availability and customer expectations.
Collaborate with procurement to obtain pricing, including project bids.
Coordinate with Finance team on all finance related queries.
Training and Onboarding
* Facilitate onboarding and training sessions for new sales team members on sales processes and tools.
* Organise vendor training sessions, new product demonstrations and group sessions.
Sales Metrics, Forecasting and Reporting
* Monitor and track key performance indicators (KPIs) related to sales activities.
* Provide the Head of Sales with custom reports using HubSpot and Excel.
* Support the sales team to deliver accurate monthly forecasts.
As part of the wider admin support team, at times you will need to cover other roles such as project admin, resource planning and purchasing.
Qualifications and Skills
Essential
* Educated to a minimum A Level standard (or equivalent)
* Proven experience in sales support or co-ordination roles, preferably within the AV or technology sectors.
* Proficiency in CRM software and Microsoft Office Suite, particularly Excel and PowerPoint.
* HubSpot experience is ideal but not essential as full training will be given.
