The Office of the Public Guardian are a looking for an Administrative Assistant to join them on a part time permanent basis. The hours are 31 hours and 12 minutes per week. There is some flexibility as to how the hours can be worked dependent on business needs.
As an Administrative Assistant, you will provide general administrative support to the various sections within OPG, to ensure the smooth running of all business on a daily basis. Administrative Assistant staff work within a team with regular management support and are responsible for their own time.
The key responsibilities include:
Batch & Scan Power of Attorney’s (POA), De batch and place in cheque number order before placing on relevant team cabinets for processing.
Process POA certificates and associated letters. Make up POA information packs as required Batch & Scan general mail.
Assist with opening of daily royal mail delivery Collect and prepare outgoing mail. Complete outgoing mail on OBA system.
Meet and greet customers at reception.
Ensure all visitors sign in Deal with simple queries or seek assistance from relevant team as required Accept and process Streamline payments for registration fees.
Maintain customer sign in log, print daily sheets as required.
Ensure contractors sign in and out of contractor’s log Maintain contractors log and print sign in sheets as required.
Issue customer feedback forms.
Print off room booking sheet.
Answer telephone in a polite and professional manner passing calls to relevant teams.
Deal with any deliveries to the office.
Arrange couriers as required.
Update recorded phone message.
Distribute stationery.
Photocopying as required.
