Job Overview:
We are seeking a detail-oriented and organised Referrals Coordinator to join our team. In this role, you will ensure that all referrals are handled with efficiency, accuracy, and in line with our values of safeguarding and the best interests of children and young people. You will work with the wider Business Development team to achieve high occupancy levels through a combination of strong relationships with Local Authorities, marketing and close working with Operations, including Home Managers and Headteachers.
Key Responsibilities:
* Referral Processing and Tracking: Manage, track and process all incoming referrals through various channels (email, phone, and online portals), ensuring they are promptly reviewed and assigned to the appropriate persons.
* Liaison with Local Authorities : Build and maintain strong working relationships with Local Authorities’ Commissioning and Social Worker teams to gather essential information about each child and young person, as well as provide regular updates and feedback on the referral process.
* Placement Matching : Work closely with Operations, including Home Managers and Headteachers to ensure that all placements are well-matched, safe, and in the best interest of children and young people. Contribute to the matching process by providing detailed insights and making recommendations based on available data.
* Placement Commissioning and Contract Management : Ensure all placements are correctly commissioned and that the relevant contracts, including Individual Placement Agreements (IPAs), are obtained and maintained. Ensure compliance with contractual and regulatory requirements to ensure smooth placement transitions and ongoing service delivery.
* Data Entry & Record-Keeping : Maintain accurate and up-to-date records of all referral-related information and documentation. Ensure compliance with data protection and confidentiality regulations, maintaining both electronic and physical records in line with company policy.
* Business Development Support : Collaborate with the Business Development team to identify new contacts, explore tender opportunities, and contribute to proposals. Ensure all placements comply with contractual obligations and regulatory requirements for successful framework bids.
* Awareness & Engagement : Raise awareness through targeted work such as vacancy mailshots, enabling CCRAG local vacancy alerts, attending provider forums and events (where appropriate), and utilising our online/print marketing efforts to inform and promote best practices.
* Internal Collaboration : Participate in regular team meetings and contribute to internal reporting, data analysis, and strategic planning, ensuring accurate insights for informed decision-making and continuous service improvement and occupancy growth.
* Continuous Learning and Development : Engage in relevant training and development opportunities to ensure you remain up-to-date on policies, procedures, and best practices within the sector.
