Position: Clerical Officer
Grade: 2 £22,737 - £23,114 pro rata
Type: Temporary – required as soon as possible for 1 year
Hours: Term Time Only 27.5hrs per week, 9:15am – 14:45pm Mon - Fri
The Woodlands wish to appoint an enthusiastic, dynamic Clerical Assistant. The candidate should have good numeracy, financial and literacy skills, with a good level of verbal and written communication skills. 4 GCSEs (A-C) including Maths and English or equivalent; use of Arbor, CPOMS, and school office experience would be beneficial.
Responsibilities:
1. Being the first point of contact for the school, welcoming visitors and parents and answering telephone calls, post etc.
2. Operating Arbor and CPOMS and other internal systems.
3. Supporting the Business Manager, maintaining procedures and documentation, including but not exclusively, pupil records and attendance registers.
4. Liaising with kitchen staff, lunchtime supervisory assistants, caretaker, and cleaners including reporting and monitoring repairs to fabric and equipment.
5. Producing minutes of staff meetings and briefings and taking minutes in special circumstances to ensure full records are kept.
6. Ensuring all database systems used within the school are kept up to date to ensure contact can be made with all members of staff and pupils.
7. Managing, distributing, and checking yearly indemnity forms, following up any non-returns.
8. Maintaining stock/asset registers for the school and managing annual stock checks.
9. Overseeing children’s illnesses and accidents, informing parents and staff as appropriate, ensuring that records are kept.
10. Attending any training courses relevant to the post, ensuring continuing personal and professional development.
11. Providing appropriate help throughout the day including break and lunchtime monitoring and pre/post school activities as necessary.
12. Maintaining accident records as required.
13. The post holder may undertake any other duties that are commensurate with the post.
The ability to converse at ease with customers and provide advice in accurate spoken English is essential for the post.
Standard Term Time Only Pay:
Calculated on the basis of:
1. Number of ‘teaching’ weeks – 38 weeks;
2. Public (bank) holidays – 1.6 weeks (8 days);
3. Individual leave entitlement - 5.4 weeks (27 days) or 6.4 weeks (32 days).
Individual leave entitlement is calculated on the length of continuous service. Employees with less than 5 years’ service will receive 27 days annual leave. Employees with more than 5 years’ service will receive 32 days annual leave.
