Regional Support Manager
XDP is the largest privately owned freight carrier in the UK and has built a reputation for reliability and quality of service over the last 25 years. What sets XDP aside from other delivery companies is the fact that we operate our own logistics network of over 35 UK overnight parcel depots & 15 2-man depots. Our 9-acre central distribution site is well positioned in the heart of the Midlands, operating a manual sortation system with a capacity to handle over 40,000 parcels per night.
The role is responsible for supporting the Regional Director with the delivery of all depot’s operational procedures, controls, and performance within a designated region.
The role requires a mixture of management skills and administrative & financial responsibilities.
The goal is to support maximising efficiency, whilst adhering to and delivering against all SOPS, regulations & policies to fulfill assigned depots within regional operational demands.
Responsibilities
* Collaborate with depot managers to ensure operational efficiency and adherence to company policies and procedures.
* Conduct regular audits and inspections to identify areas for improvement and implement corrective actions as needed.
* Provide guidance and support to depot staff in resolving operational challenges and addressing customer concerns.
* Ensure the smooth running of assigned depots' daily operations across the region through supporting planning, control, and performance.
* Support overseeing regional operation quality, sustaining high levels of Right First-Time actions within fulfillment functions to exceed operational & customer demands.
* Support Depot Managers with all reporting lines training, role objectives, measures & targets, measure effectiveness & take appropriate actions.
* Undertake performance management actions & disciplinary proceedings, where needed.
* Monitor key performance indicators for each depot assigned, including on-time delivery rates, accuracy, and customer satisfaction levels (ensure Depot Managers are monitoring Grafana Tools throughout each day).
* Provide performance data requested to assist RD in identifying trends, opportunities, and areas of concern.
* Coordinate with the Regional Director and depot managers to allocate resources effectively, including personnel, equipment, and temporary staffing if required.
* Support teamwork and collaboration among depot staff, encouraging open communication and sharing of best practices across depots assigned within the region.
* Ensure compliance with regulatory requirements and company policies related to Health & Safety and security.
* Conduct regular Health & Safety inspections and audits of Depot Manager records to identify and mitigate potential hazards, promoting a safe working environment for all employees.
* Uphold company policies and values while always leading by example.
* Support with planning resource in line with changing activity levels ensuring costs are monitored, ensure all approval procedures are followed.
* Monitor assigned depots' productivity, timeliness & activities, ensure XDP systems are up to date daily, ensuring visibility of progress is displayed at depot level.
* Resolve & own any escalated issues, complaints, or problems that occur on a day-to-day basis, serving as the secondary point of contact facilitating communication providing responses, and collaborating across teams.
* Support with the production of and present regular reports, statistics & updates as and when required (Daily, Weekly, Monthly, Ad hoc).
* Attend meetings as required & invited.
* Ensure assigned depots operate in a clean and tidy working environment to aid operational efficiency.
* Communicate with Depot staff regularly to make them aware of priorities, targets, and operational requirements.
* Work collaboratively with business functions & stakeholders.
* Review assigned depots' regular driver meetings output notes/minutes and attend regularly when in locations.
* Be flexible with working hours / able to cover every shift at short notice.
* Attend customer meetings as and when required.
* Provide Specific Subject Matter expertise to benefit business projects & initiatives.
* Travel between depots assigned within the region.
* Operate as Depot Manager in instances of holiday cover, fully supporting the supervisory team, and being hands-on day to day.
Experience:
* Have a solid background in business practices, procedures, and terminology.
* Strong, confident, methodical, and robust Management qualities with the ability to provide support and motivate.
* Management qualifications, plus extensive knowledge of the industry.
* Ability to create a good plan and demonstrate determination to accomplish goals.
* Excellent written and verbal communication skills.
* Awareness of internal and external customer needs.
* Ability to record findings for rectification & communicate effectively and also be able to form effective action plans.
* Proven ability to work on different tasks at the same time and be highly organised.
* Experience in overseeing, embedding, and controlling health and safety procedures.
* CPC Transport / National / International (Desired but Not Essential).
* IOSH - Managing Health and Safety (Desired but Not Essential).
