About the Role: We are seeking a proactive and highly organised Sample Coordinator to join our dynamic team. In this role, you will manage photo sample workflows, ensuring the right products are prepped, tracked, and available for shoots. The ideal candidate will have had 1 year minimum experience in Head Office environment working closely with samples (buying / product development / press experience preferable). Responsibilities: Oversee all photo sample management, ensuring the correct product is pulled for each shoot and styling days. Track sample movements, ensuring accurate records of samples in the studio, on location, or with other teams. Ensure all shoot rails are fully prepped before the shoot day and flag any missing samples to styling and production. Collaborate with the Merchandising team to prioritise reshoots or slow sellers and add them to the next month's shot list. Work closely with the stylist to build contact sheets for each shoot. Own contact sheet creation and amendments, ensuring distribution deadlines to the wider business are met. Maintain a clean, organised studio, regularly archiving samples and keeping them in correct areas. Be the key on-set contact for late samples and assist the Junior Producer in ensuring the smooth running of the shot list. Maintain seamless communication between Buying, Junior Producer, and Head of Product Marketing. Request and return warehouse samples when needed. Manage incoming and outgoing samples to various sets and shoots. Skills Competency in Excel, InDesign, and Google Docs. Strong attention to detail and good memory for samples, intake months, and style codes. Preparedness to work longer hours on shoot days and be present in the office. Ability to juggle multiple requests in a fast-paced environment. Proactive with independent thinking abilities. Capacity to work well under pressure. Strong organisational skills. Excellent communication skills. Proven ability to problem-solve and manage time productively and efficiently.
