An exciting opportunity has become available to become a Personal Assistant to the Head of Unit.
The successful applicant will provide a confidential, professional and efficient administrative support function to the Counter Terrorism Policing South West (CTPSW) Head of Unit and ad hoc support to the wider Senior Leadership Team.
This is a part-time post working 22.5 hours per week and will be a blended role.
The working pattern can be flexible and negotiated with the successful person.
In this role, your main responsibilities will be:
1. To provide secretarial and administrative support to the CTPSW Head of Unit, managing their diary and schedule, proactively preventing commitment conflict, prioritising emails and ensuring urgent matters are brought to their attention, and progressing/carrying out enquiries on their behalf where appropriate.
2. To be responsible for the organisation and co-ordination of SLT members' diaries, arranging appointments/meetings, including 'away days', taking minutes and following up on actions, preparing presentations/documentation and travel arrangements.
3. To provide administrative and clerical assistance to the other SLT members as appropriate and brief on matters referred to them including the relevant head of unit's portfolio of national projects, conducting research where appropriate and collating and distributing all associated paperwork.
4. To organise CPD/Training events for CTPSW and perform relevant research around the subject matter.
5. To manage elements of the CTPSW new starter induction/leaver's process.
6. To prepare communication/correspondence on behalf of the head of unit using appropriate methods and checks.
7. To prepare and produce Reward & Recognition letters on behalf of the Head of Unit and internal communications by drafting bulletins with suitable information and distributing by appropriate medium.
8. To work closely with the Admin Team providing administrative and clerical assistance as directed by the Business Team to the wider unit when needed, establishing and maintaining systems/processes along with tracking actions and activities.
Essential skills and experience required:
1. Time management skills with a demonstrable ability to organise and prioritise the time and activities of self and others.
2. Ability to adapt and respond quickly and appropriately to conflicting and changing demands whilst remaining calm under pressure.
3. Secretarial and admin experience of accurate minute taking, interpersonal skills and communication skills, producing a high standard of written and verbal communication.
4. Knowledge of all Microsoft packages with a typing speed of 50 wpm and strong computer literacy skills.
The successful candidate will fulfil the requirements of the role with integrity, accountability and commitment, operating calmly and professionally at all times.
You must be a British citizen to work for the department. If you hold dual nationality, one component of which is British, you may also be considered. However, if successful, you may be asked to relinquish your non-British nationality (and any entitlement you may have to a foreign nationality) as a condition of your confirmation of appointment with the department. One of your parents should also be British or have substantial ties to the UK.
Work on a bank or public holiday as part of the normal working week will be compensated in line with conditions of service.
This post is subject to a higher security clearance at MV and SC - Management Vetting and Security Clearance Level. To be eligible to apply for this role you must have a five-year 'checkable history' in the UK - ideally this means that you would have been resident in the UK for the last five years.
