JOB OVERVIEW
*INTERNAL VACANCY*
To provide comprehensive, professional secretarial and administrative support to the senior members of the Infection Prevention and Control Team, including the Director of Infection Prevention and Control, the Lead Nurse for Infection Prevention and Control, the Infection Control Doctor, and the wider Infection Prevention and Control Team adopting a high degree of confidentiality as is required within the post.
MAIN DUTIES OF THE JOB
Act as first point of contact for the IPC team including arranging, overseeing and covering the following duties: Diary Management – coordinating the diaries of the IPC team prioritising appointments, and ensuring attendance at all relevant meetings (to include arranging travel when necessary). Arranging meetings – arranging venues, preparing and distributing agenda and accompanying papers. Answering telephone enquiries, taking messages and taking actions where appropriate. Receiving complex and sensitive information orally, in writing and electronically. Organise the office efficiently in a complex, changing environment. To use knowledge and experience to meet the needs of the team by completing non-routine tasks unsupervised on a daily basis using own initiative prioritising own workload and using initiative as to what is routine and what is urgent. As an experienced administrator, the post-holder will be expected to create an environment of continuous quality improvement and professional development. The post holder works autonomously within defined policies and procedures, although advice is readily available from the line manager when required. The post holder will be responsible for the smooth and efficient management of diaries as well as supporting critical programmes of work.
