About Our Client

Job Description
1. Creation and sending out new and renewal contracts for gym maintenance, pool and spa maintenance, and inductions.
2. Ensuring contracts are sent in the required time period.
3. Ensuring all contracts are renewed before expiry date.
4. Making sure customer has provided PO and/or signing of contract so invoicing is possible.
5. Invoicing out all contracts.
6. Constantly reviewing the contracts process and offering better efficiency solutions to processes.
7. Keeping all documents up to date and filed in correct folders.
8. Collating information needed for financial forecasting for the department.
9. Liaising with maintenance coordinator manager to receive gym maintenance schedule.
10. Booking gym maintenance visits in with sites that require.
11. Weekly update (Mondays - from week before) client portal folders with job sheets, test results (micro's), and contracts.
12. Update pool and spa order tracker when requested.
13. Invoice all completed job and chemicals.
14. PPM Schedule updated on master and client portal.
15. Raise PO's and Invoices when required.
16. Onboarding process organised for each new client and offboarding.
The Successful Applicant
1. Previous experience with Xero accounting software.
2. Previous experience in an administrative role.
