DEPARTMENT: Procurement DIVISION: Group LOCATION: Aberdeen. HOURS: 37.5 Overtime might be required MAIN PURPOSE OF JOB: Using the company approved Purchasing system Compliance with Purchasing policy and procedures and Safety Management System. Ensure goods and services are purchased at competitive prices are fit for purpose regarding safety, function and certification. Ensure that North Star framework agreements are used whenever possible. Sourcing suppliers. Sending RFQ’s for goods and services. Summarizing and analysing quotations. Creating Purchase orders. Expediting Purchase orders, keeping requestor(s) advised of delivery issues. Enter receipts against Purchase Orders. Liaise with engineering superintendents and other internal customers. Be assertive and tactful with suppliers and customers. Liaise with suppliers, customers and accounts payable to ensure timely payment of invoices. Be methodical with Requisitions, RFQ’s, Quotations, Order acknowledgements and Delivery notes to ensure that there is a clear audit trail. Maintenance of records to ensure PO’s are receipted and closed on a timely basis. Arrange supplier returns when necessary. Assist with Inventory cycle counts / year end count. To provide support and cover when Purchasing colleagues are absent. To carry out other duties as may be reasonably required REPORTING RELATIONSHIP: Reports to: Supply Chain Manager KEY WORK AREAS RESPONSIBLE FOR: Purchase of goods and services COMMUNICATIONS: Daily contact with fellow employees and management North and South Daily communication with management, crews, clients and suppliers both verbal and written QUALIFICATIONS/TRAINING: Procurement background Experience in a similar role preferred. Ideally in Marine / Oil &Gas / Engineering sector Experience in use of Microsoft Excel Applications Experience in use of Procurement modules in a ERP system PERSONAL QUALITIES/CHARACTERISTICS: Ability to work on own initiative or part of a team, and under pressure Mature, professional approach to work Patience in order to work to tight deadlines Excellent verbal communication skills Strong professional skills
