Position
The Administration Assistant supports and works alongside the Portsmouth Office Teams. The role is accountable to the Recruitment Manager and is based in Portsmouth Office.The Administration Assistant role is primarily to administer the office requirements and support various departments with administrative needs.
Duties and Responsibilities:
* Act as an office administrator, handling calls, visitors and guests.
* Support with management of office IT, stationery and supplies.
* Act as point of contact with office landlord for any maintenance, access and car parking.
* Administer recruitment queries and be the first point of contact for all vacancy opportunities for offshore personnel.
* Onboard new offshore personnel, ensuring certification is in date and complete.
* Administer the databases for offshore personnel.
* Support with tenders, contracts and variation orders for active offshore personnel.
* Administer IR35 determinations for all relevant offshore personnel.
* Support Health and Safety activities for the Portsmouth Office.
* Any other roles that are reasonably within the capabilities of the post holder.
Requirements
Qualifications, Skills and Abilities:
* Good education level including good passes in English & Maths.
* Previous experience in administration-based role
* Good communication and interpersonal skills – ability to speak and write in a clear, concise manner to build credibility with people at all levels of seniority, in particular making direct calls by telephone.
* Able to organise and prioritise own workload.
* General computer skills including the use of Microsoft Word, Excel and Outlook.
* Organisational skills – a high level of attention to detail and focus on accuracy is vital
Other information
Competitive remuneration package with 25 days holiday + bank holidays a year, pension, with a competitive starting wage dependant on skills and qualifications. Full time 37 ½ hr week. Full training & support will be provided where necessary and appropriate.
