We are looking for a temporary Medical Secretary to work as part of a medical secretarial team, to cover maternity leave. The vacancy will offer the successful candidate an exciting opportunity to gain valuable experience in a dynamic healthcare environment.
Hours of work: 25 hours per week, Monday to Friday.
Main duties of the job
You will work as part of a medical secretarial team ensuring that patients receive a proficient service.
Process efficiently and quickly referral letters and other documents.
Deal efficiently and courteously with enquiries from patients, hospitals, and other healthcare providers.
Oversee that secretarial duties are carried out efficiently, professionally, and adhere to confidentiality policies.

Job responsibilities
Main Duties:
1. Typing referral letters, medical reports, and patient letters from information provided by GPs.
2. Carrying out actions requested by GPs, i.e., contacting patients to inform them of changes in their management.
3. All other letters or work from Nurses, Doctors, Practice Manager, and any other members of staff.
4. Actioning some test results and clinic letters.
5. Chasing test results; bloods, x-rays, and hospital tests.
6. Making and receiving telephone enquiries on behalf of patients.
7. Liaising with various hospitals regarding mutual patients and corresponding with hospital staff at all levels.
8. Obtaining emergency patient appointments at the hospital and dealing with referral paperwork accordingly.
9. Arranging procedures and services urgently to avoid patients being admitted to hospital.
10. Dealing with enquiries from various sources regarding patients' history.
11. Dealing with telephone calls from patients/hospital staff on behalf of all GPs.
12. Organising and arranging internal meetings, including preparation of agendas and taking minutes (excluding partners).
13. Patient Focus Group: liaising with PFG members, recruitment of members, meeting invites, meeting minutes, distribution of meeting minutes to PFG members.
14. Weekly updates of the referral manual and any other related guidance.
15. Liaising with various staff at NHS Bolton or other agencies regarding meeting schedules, etc.
16. Summarising past medical and surgical history for patient referral letters.
17. Assisting GPs in collating information for their GP appraisal.
18. Processing and distributing drug, device, and patient safety alerts and adding to log.
19. Monitoring ongoing professional registration status, medical indemnity, car insurance, and CRB checks for all relevant staff.
20. Arranging CPR training for staff, in line with CQC requirements and mandatory training.
21. Health & Safety representative at bi-monthly meetings.
22. Any other duties appropriate to the role.
Person Specification
Qualifications
* Secretarial and/or Administrative experience.
* Working knowledge of office and outlook, including Excel, PowerPoint, email, and internet.
* GCSE Maths and English A to C/9 to 6 or Functional Skills Level 2.
* NVQ 2/3 Business Administrative qualification, or equivalent level of demonstrable experience.
* Medical Terminology qualification.
* Customer Care Qualification level 2.
