Job Purpose: The Accounts Assistant Administrator is responsible for the daily administration of all aspects within the finance department, including managing the inboxes and ensuring that all financial reporting and associated activities are completed in an accurate and timely manner. This includes meeting external accounting deadlines and ensuring that statutory and management accounts are produced promptly. This role reports directly to the Financial Controller. This role is office-based to support the wider business. Possible travel may be required, and varied hours during busy periods due to the nature of the industry. The Accounts Assistant must be flexible, willing to work extra hours to ensure deadlines are met, and able to perform well under pressure. They must be self-motivated, well-organized, and capable of planning and directing to meet personal and departmental goals and objectives. Below is a summary of this roles responsibilities. Key Responsibilities: Data entry and maintenance of the Companys financial management system. Management of the finance and AR inbox. Process customer invoicing to ensure accuracy against customer POs and quotes. Process supplier invoicing to ensure accuracy against POs and quotes, and cross-reference balances against monthly statements. Respond to supplier communications regarding queries and payments. Manage bank activities, including reconciliations of bank and credit card statements. Process staff expenses in line with the expense policy and advise on allowable claims. Compile weekly supplier payment runs in line with payment terms. Prepare financial and statistical Company reports as required. Compile the Company dashboard monthly. Credit control and administration functions to ensure payments are collected promptly. Liaise with customers regarding payment dates and escalate issues when necessary. Update the daily cash flow. Recommend changes to financial policies and procedures as necessary. Monitor established internal controls to ensure proper compliance. Assist with planning and implementing changes in the accounting system. Review all new client credit account forms, conduct credit checks, and set credit limits, reviewing them regularly. Review all new supplier credit account forms, conduct credit checks, and evaluate payment terms. Act as a point of contact for team members regarding the Company CRM/Quote and PO system. Support Department Executives with general administrative tasks and provide cover when required. Skills/Qualifications: Qualification to AAT level 2 required, or currently studying a finance qualification. Experience in a finance role preferable but not essential. Familiarity with Xero is beneficial. Excellent reporting skills and a keen eye for detail. Proficient in Excel and competent in Microsoft Office software (Word, Excel, Outlook, and PowerPoint). Strong organizational skills and the ability to prioritize multiple tasks. Ability to communicate effectively both orally and in writing. Experience in a creative company or events environment is beneficial but not essential.
